Voids Surveyor
Reports to: Voids Co-ordination Officer
Responsible for: No colleagues
Main Responsibility:
Work with the Voids Co-ordination Officer to ensure that all void property refurbishments are complete on time and to a good standard. Prepare a detailed voids schedule using schedule of rates in order to get precise data on what work needs to be undertaken and have a good control over costs. The Voids surveyor will liaise with the out-going tenants, identify any possible recharges and liaise with colleagues concerning what energy efficiency measures will be required in order to bring the property up to WHGQS standards.
The Voids Surveyor with work closely with the Voids team at EOM and Medra to get the work undertaken in a timely manner and to the required standards; be available to liaise with the in-coming tenant concerning possible property viewings, and ensure that all certificates and warranties are in place at the end of the work. The Voids surveyors will liaise with Utility Companies, any specialist engineers or surveyors to ensure that Barcud holds detailed information on its stock. One the refurbishment is complete, the Voids Surveyor will liaise with tenant inspectors for them to verify that work is up to a good standard and will undertake a detailed property condition survey prior to the dwelling being let. The team’s performance will be measured against key targets of improving the average time taken to refurbish empty properties and reducing lost income.

Necessary experience and skills –
• Ability to prepare detailed schedules of work through a digital platform to list out all works required to an occupied property before it becomes vacant.
• Ability to communicate effectively with out-going tenants whilst also being able to spell out any implications to any damage caused or possessions left at the property in a constructive manner to outgoing tenants so that they avoid any re-charge costs once they vacate the dwelling.
Ability to explain to contract holders the process that Barcud will follow between the receipt of the notice and return of keys in conjunction with the Housing officer.
Liaise with colleagues in the Asset Management team to consider component life-cycles, targeted energy pathways and energy efficiency improvements that can be undertaken whilst the property is vacant.
Work alongside the internal contractor and external contractors where required to ensure that the work is undertaken to a high standard and completed in a timely manner that will reduce void loss.
• Ensure Barcud delivers a customer-focused voids service in accordance with regulations and standards, best practice, and occupation contract.
• Work alongside the Voids Co-ordination Officer to undertake periodic reviews of the service offered, checking prioritisation, investigate costs

and alternative specification, also from time to time ensure that the processes and procedures are current, and review satisfaction levels.

• Be the main contact for operational matters on each void in your area until the property is re-let
• To undertake a stock condition survey during the void process and undertake stock conditional
• Prepare a sketch plan of the dwelling and external areas highlighting location of stop taps, meters and key areas of interest.
• Follow processes and procedures to deliver a customer-focused Repairs and Maintenance service, where relevant use Apps to assist with site reports and surveys to improve efficiency and the level of service being offered.
• Work with colleagues across Barcud Group to deliver and implement appropriate Health & Safety policies, procedures, and systems.
• Maintain a thorough awareness of regulations governing Repairs and Void services including WHQS, Building Regulations as well as good practice.
Check performance on a regular basis, checking dashboards regularly and benchmarking wherever possible with others that provide an improved service.
• Maintain positive and proactive working relationships with external consultants / contractors who deliver Void Maintenance services.
• Ensure that instruction manuals are included for the tenants with a copy on the property file
• Ensure that the handover pack includes the location of all meters, stop taps as well as the WHQS Compliance certificate.
• Provide assistance to colleagues during busy periods.
• Authorise expenditure in accordance with Standing Orders, Financial Regulations and Delegated Authorities.

Qualifications
• Good level of education commensurate with the role,
• Relevant professional qualification, namely chartered status from a relevant institutional body (e.g. CIH/CIOB). (desirable)

Experience
• Track record of delivering Repairs and Maintenance services.

• Ability to identify causes on building defects, including causes of Damp, Mould and Condensation
