Job description

Job Purpose

The Student Records Administrator will support core Registry business processes and service delivery through the annual cycle of activity, across all Registry Teams: Immigration Compliance, Financial Aid, Student Records, Graduations, and Exams.

The postholder will provide agile and flexible support at peaks times of activity, including both in-person student-facing activity and data-processing activity. This role reports to the Student Records Manager and requires regular liaison with other key stakeholders in Services, Schools and Colleges.

Main Duties and Responsibilities

1. Provide first line support to Registry staff to deliver services (Events, Visa Registration, Exams, Registration, Enrolment, Financial Aid Support) at key periods throughout the year.

Use MyCampus and other systems to access, input, maintain and process data in support of the work of the Department. Including:

* Processing student withdrawals in MyCampus

* Assistance with preparations for creation of student data for the new academic year.

* Validation, and where applicable, recording of student data in MyCampus.

* Manipulating and processing student data in general.

2. Assist with the resolution of helpdesk calls received by Registry teams. Where applicable liaise with other staff within the Registry, other Academic and Service Departments and/or external organisations to provide and exchange information needed to progress work/resolve enquiries.

3. Support in venue administration and event operations such as ID card distribution, visa registration, graduations or other Registry functions.

4. Follow and maintain standard operating procedures for data processing activity across teams. Including financial aid data, student record data, and immigration compliance data.

5. Support service and operational delivery with administrative support such as exam pack preparation, graduation parchment preparation.

6. Process and record student data, including pulling reports from MyCampus, cleaning and analysing data, and uploading data into systems.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role

Desirable:

B1 A knowledge of university administrative systems, structures and procedures.

B2 HNC, VQ 3, Higher Grades, City and Guilds or equivalent in business/office administration/IT or related subject.

Skills

Essential:

C1 Good communication and organisational skills.

C2 Ability to work effectively both independently on own initiative and/or as part of a team.

C3 Well developed IT skills, in particular the use of Microsoft Office (Word, Excel, Outlook) and large database information system operations and data input.

C4 Able to multitask and pay attention to detail.

C5 Ability to plan or schedule work days and weeks ahead, and to respond to changing pressures or requirements with the ability to prioritise effectively.

C6 Able to input data quickly and accurately.

C7 Able to work flexibly and contribute to overall team effort with a positive and enthusiastic approach.

Experience

Essential:

E1 Relevant work experience in a similar role.

E2 Experience of working with a database to input, maintain and process data.

Desirable:

F1 Experience in a Higher Education or other educational environment.

F2 Experience of using MyCampus or other student records systems.

F3 Experience in a busy and customer focused environment.

Terms and Conditions

Salary will be Grade 4, £25,804 - £27,319 per annum pro rata.

This post is part time (17.5 hours per week) and fixed to 31 January 2027.
