Position Overview:

Program Assistant will be providing mentoring to Social Mobilizers (SMs) and assisting the Program Associate in carrying out all activities of the GEP. The position will involve frequent travel to the project site (schools, communities). The work will entail providing direct support to social mobilizers; supporting and facilitating SM trainings; and working 1:1 and in groups with SMs regularly to ensure they are effective in their roles with participants and in delivering life skills sessions to project participants (adolescent population). The role will be responsible for ensuring timely delivery of life skills sessions, strengthening linkages with school principals and other stakeholders, managing data, and conducting data quality checks.

Responsibilities:

Program Implementation

  • Support SMs in planning and facilitating life skills activities (sessions) as per the program design and in providing feedback to the SM, or in providing other activities needed to help SMs succeed in their core responsibilities.

  • Ensure timely execution of mentoring sessions as per the program design through SMs across the project site.

  • Support the SM in identifying and supporting participants who are at risk of dropping out of school using Room to Read’s risk and response protocol. Hence, develop contingency plans for ensuring zero dropouts from regular schooling.

  • Facilitate SM weekly and monthly review meetings to discuss and identify solutions to the challenges SMs are facing in program implementation and in collaborating with the participants and communities.

  • Participate in monthly and quarterly reviews of the GEP program with the Associate/State Officer and participate as well as represent Maharashtra/Rajasthan state in state- and national-level capacity-building workshops and review meetings.

  • Support Program associate in planning life skills sessions with participants on critical issues like sexual and reproductive health, career plans and any other as deemed fit.

  • Develop school profiles for each of the schools and regularly update them, as well as facilitate donor and other stakeholder visits to the program sites.

  • Ensuring timely submission and documentation of monthly reports, donor reports and case studies.

Family, school, and community engagement:

  • Support and plan with Social Mobilizers in conducting the parents’ workshop and parents' meeting as planned.

  • Identify local needs of the community and explore topics for probable parents' meeting discussion.

  • Conduct regular meetings and provide program updates to stakeholders (schools and others).

  • Prepare a database of social security schemes (scholarships, etc., applicable to the respective state) and link participants with these schemes. Also extending support to the eligible participants in orientation, processing, and documentation for availing social security schemes.

  • Plan and conduct alumni engagement events in coordination with social mobilizers and support ensuring in ensuring 100% quarterly visits of scholars by social mobilizers.

Liaisoning, networking and building linkages at the field, block, and district level:

  • Support the Program associate in planning and organizing quarterly meetings with block-level officials. Building linkages with like-minded organizations/institutions for referral services for participants and maintaining a proper database.

  • Create linkages with school management committees, child protection committees and any other as required to create safety nets for participants and conduct regular meetings with them.

  • Liaison with school authorities providing space for life skills centers inside school premises.

  • Exploring and ensuring participants have access to state-level scholarships for higher education.

  • Support Program Associate for creating visibility of GEP in District and State level through various campaigns and outreach programs

Ensuring Quality program at the field level:

  • Ensure program quality life skills sessions with participants and individual/joint visits along with SM/State Officer and other stakeholders.

  • Share learnings from INCO-level review meetings and workshops and develop rollout plans on the ground.

  • Understand and work on factors that may impede quality and fidelity in the field.

  • . Prepare data tracking sheets and provide regular updates to the Program Associate.

  • Use the life skill observations form and provide feedback to social mobilizers for program quality enhancement and impact.

  • Maintain records to ensure the availability of materials for life skills sessions, mentoring, and material support.

Planning, Reporting and Documentation:

  • Support social mobilizers in maintaining data records of participants, including attendance, academic performance, and other program activities as per the program design, and share these with the Program Associate.

  • Support and coordinate with social mobilizers in planning, documenting and reporting on school and home visits and parents' workshops.

  • Ensure that all data and documents related to program expenses are maintained and submitted on time, in accordance with RTR’s accounting and finance policies. Document best practices, case studies, photos, and lessons learned and shared with the state team and reporting officer.

Annual planning and budgeting:

  • Ensure tracking of the budget utilisation for the program, maintain records and bills for timely submission, and ensure the monthly budget forecast.

Any other:

  • Lead the identification and selection of new geographies and schools through visits and meetings with stakeholders. Explore existing data and analyse the same for data driven decision making process.

  • Lead campaigns and event-related activities at project implementation sites.

Qualifications:

Required:

  • Master’s degree in education/ social work/ development/Gender Studies.

  • 2-3 years of relevant work experience in areas of adolescent education, gender and life skills.

  • Good people skills and negotiation skills with team management.

  • Basic computer skills for report writing and knowledge of Excel.

  • Ability to juggle multiple priorities simultaneously, take initiative and be multiskilled.

  • Prior success working closely and building relationships with diverse groups of people.

  • Ability to identify and resolve conflicts among the team and most importantly adherence to timelines.

  • Fluency in language spoken and written, both in Marathi and Hindi.

Preferred:

  • Prior experience of living and/ working in rural and semi-urban areas.

  • Prior experience of collaborating closely with the community, schoolteachers, and adolescent population.

  • Candidate with a two-wheeler or comfortable to travel in public transport (bus/metro/local train, etc.). This role requires travel to project sites.

  • Ability to meet milestones expected under the program within the speculated period.
