Job Description

To help us get there, we are looking for a proactive and highly capable Executive Assistant to Directors to help strengthen coordination, delivery and digital ways of working across our Executive priorities.

About the role

This is a newly created role, designed to increase capacity at Director level and support the effective delivery of MacIntyre’s strategic priorities, including The Big Plan and our Everyone Everywhere approach.

Working closely with four Directors, you will help keep priorities moving, anticipate what is needed, coordinate activity across portfolios and ensure actions are followed through. You will play a key role in supporting project coordination, governance processes, communication flow, and the adoption of more effective digital systems and ways of working across the organisation.

You will need to be confident working at pace, comfortable navigating complexity, and able to build trusted relationships across the organisation. This is a role for someone who can think ahead, spot risks and opportunities early, and help create the conditions for strong decision-making and delivery.

Day to day, you will:

  • Coordinate projects, meetings, events and cross-organisational priorities from planning through to delivery.
  • Support Directors to stay focused, prepared and aligned to key organisational priorities.
  • Manage complex diaries and commitments, ensuring time is used effectively.
  • Contribute to governance activity, including minutes, action tracking and digital governance tools.
  • Produce clear reports, presentations, correspondence and briefing materials.
  • Track actions, deadlines and commitments to support accountability and follow-through.
  • Identify opportunities to improve systems, processes and digital ways of working.
  • Build strong relationships with colleagues, families, stakeholders and external partners, representing the Executive with professionalism and discretion.

About you

We are looking for someone who takes ownership, brings judgement and emotional intelligence, and can work independently with confidence.

You will bring:

  • Experience supporting senior leaders in a complex organisation.
  • Strong project coordination skills, with the ability to manage activity from planning to delivery.
  • Experience of governance processes, minutes, action logs and digital governance systems.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Strong IT and digital skills, including the full Microsoft communication suite, and confidence using systems to improve efficiency.
  • The ability to interpret information, identify key messages and make practical recommendations.
  • A calm, professional approach and the ability to handle sensitive information with discretion.
  • GCSE Maths and English, or equivalent.
  • The ability to act as an ambassador for the Executive Team, demonstrating professionalism, sound judgement and behaviours that reflect MacIntyre’s values.
