Full time, 35 hours per week

Fixed Term Contract (Maternity Cover) – 12 months

Grade EL, Salary £40,375.40 per annum

Location: Euston Square, London (hybrid working arrangement - minimum 2 days per week in the office)

The Royal College of General Practitioners is the largest membership organisation solely for GPs in the United Kingdom. General practice is the largest branch of the medical profession. It provides some 1 million consultations for patients in the UK every working day and deals with 86% of the health problems experienced by the UK population.

An exciting opportunity has arisen for an experienced and self-motivated Executive Assistant who can provide high-level support to the Executive Management team.

You will be working across multiple directorates, working with considerable autonomy to lead the Directorate Business management functions, allowing the Directors to focus on RCGP priorities as well as supporting strategic delivery groups and college wide committees. Key responsibilities include:

  • To provide comprehensive and flexible executive support and advice on business priorities and corporate functions, and undertake any necessary drafting and research on key issues.
  • Executive support for directorate and college meetings – gatekeeping function, arranging meetings, minute taking, tracking and following-up on actions taking responsibility for resolving business administration actions.
  • Triaging inboxes to respond to routine business, determine appropriate responses and pre-empt issues where possible. Liaising across the directorates and College teams to facilitate business and delegating work to other College staff
  • Manage internal communications with directorate and directorate senior management teams on a range of corporate and governance functions, dealing with these processes sensitively, appropriately, professionally, and in a timely and confidential fashion.
  • Manage the smooth operation of Strategic Delivery Groups and Committees as required, including taking timely notes, co-ordination of meeting agendas/papers and maintenance of issues and risk logs.
  • Lead on the compilation of high level strategic reports (Trustee and Council Reports for CEO, other reports as required.).
  • Budget management – responsibility for reporting and forecasting advice for the directorate support budgets, co-ordination of Divisional budget returns, invoice processing, purchase order management and liaison with finance business partners to resolve issues as required.
  • Support directorate HR processes including co-ordination of recruitment and interview arrangements on behalf of senior management, absence reporting and training reporting, coordination of performance review meetings for senior management.
  • Support time critical ad-hoc organisation-wide projects and workstreams.

Essential Requirements

  • Degree or equivalent experience
  • Advanced knowledge of Office 365, Microsoft Outlook, Word, Excel and PowerPoint

Experience

  • Demonstrable experience of providing EA support at executive level, with support to several departments or individuals at all levels.
  • Providing a secretariat function to Project/Committee meetings.

Knowledge / Skills / Attributes

  • The ability to work at pace, balance competing priorities and plan ahead to anticipate demands and meet deadlines.
  • Ability to think on feet and make quick, sound decisions with a self-reliant approach to your work
  • Diary and travel management, involving complex and changeable meeting coordination
  • Experience of drafting correspondence, minutes, reports, papers and business cases, ensuring attention to detail.
  • Excellent written and verbal communication skills with the ability to liaise with staff at all levels of seniority and establish networks with a variety of stakeholders
  • Able to maintain confidentiality and handle sensitive information with discretion
  • Ability to develop good working relationships with colleagues and external contacts. To be a team player with a perceptive and sensitive approach to team dynamics
  • Experience of managing budgets and an awareness of budget principles.
