Job description

The role is responsible for contributing to the successful maintenance and development of the College of Social Sciences Erasmus Mundus degree programmes supporting a range of activities across the programme lifecycle, including partnership management, operational delivery and student support. This position will also work within a wider team providing administrative support across the EMJM programmes and will be required to support colleagues throughout the cycle.

The post holder will work in partnership with academic and professional services colleagues to enable an effective administrative service for the programmes as well as supporting delivery of the Schools & College’s strategic objectives. Some responsibilities are shared across the team, with scope for the post holder to develop greater specialisms in key areas of the core duties.

Main Duties and Responsibilities

  1. Build and maintain effective stakeholder relationships with a range of new and existing internal and external partners associated with the programmes, coordinating and supporting EMJM consortium management committees and other similar consortium level forums where required, including progress and examination boards.
  2. Develop, implement and manage processes, procedures and data systems to identify and engaging suitable partner organisations in support of programme delivery, such as placements, visiting scholar activity, employability initiatives and consortium collaboration.
  3. Support the marketing, promotion and dissemination of the programmes, including contributing to the development and delivery of communication strategies, student onboarding and alumni engagement. This includes developing content for webpages, marketing and social media platforms and engaging with the student community.
  4. Support the effective management of programme finances, including raising purchase orders, contributing to the budget management overseen by the EMJM Projects Manager. This includes supporting the development and use of costing models, coordinating partner payments, maintaining accurate financial records in line with university procedures and processing ad hoc payments through the University’s sundry process.
  5. Act as an escalation point for Programme Administrators and Academic colleagues on a range of complex student related matters, providing guidance and oversight across the student lifecycle, partnership activity, and funding arrangements, and undertaking staff supervision duties where required.
  6. Coordinate visits and exchanges supporting the delivery of the EMJM programmes, supporting logistical arrangements such as travel and accommodation requirements.
  7. Work in partnership with key stakeholders to identify and implement opportunities for process improvement. This will include developing and maintaining standard operating procedures and consistent approaches to recording processes across the Erasmus Mundus programmes.
  8. Monitor, maintain and improve the quality of programmes through partner liaison, collation of feedback and provision of evaluation reports.
  9. Ensure that processes, procedures and data systems comply with all relevant regulations and legislation. This includes completing Risk Assessments and implementing support mechanisms to ensure compliance.
  10. Throughout the cycle, support Erasmus Mundus Projects Manager with adhering to all requirements of the European Commission funding body, including, but not limited to, the development of new and reoccurring funding bids, ongoing reporting, and the development of MoAs.
  11. Continue to upskill and work to improve understanding of relevant fields, including attending relevant events, conferences, etc, both representing the programmes and developing own professional capabilities.
  12. Exercise empathy, initiative, and judgement, proactively managing relationships with both internal and external stakeholders to create an adaptive customer experience.
  13. Work closely with the Erasmus Mundus Projects Manager, Programme Directors and other academic and administrative colleagues in the delivery of the above and undertake any other relevant and appropriate duties as directed by the Erasmus Mundus Projects Manager.

Knowledge, Qualifications, Skills and Experience

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role, or: Scottish Credit and Qualification Framework Level 7 (Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

Desirable:

B1 Process Improvement or Project Management certification (Six Sigma/Lean/PRINCE2/APMP etc.)

B2 Knowledge of other University software packages (Moodle, Qlikview, Dot Digital, Oracle-based platforms MyCampus, CMIS etc.)

B3 Knowledge of Further/Higher Education policies and procedures, in particular those related to mobility or joint/multiple degree programmes

B4 Knowledge of Health & Safety/Risk Management regulations and principles

Terms and Conditions

Salary will be Grade 6, £33,951 - £37,694 per annum.

This post is full time, and has funding for up to the 31st of July 2031
