Clinical Services Manager (Intake and Allocation) 1 Purpose of the role The Clinical Services Manager (Intake and Allocation) is responsible for leading and coordinating the intake and allocation of clients to appropriate ongoing therapists. This role ensures timely, efficient, and client-centred access to help, and plays a pivotal part in maintaining service quality, client flow, and clinician capacity. This key operational role ensures trainees are allocated cases appropriate to their level of clinical experience and training requirements. The role involves working collaboratively with multiple stakeholders, including clinical assessment teams, supervisors and clients to assign clinicians effectively. The post holder will be required to demonstrate excellent communication skills and have the ability to engage with clients in a sensitive manner. Responsibilities Responsibility Task/deliverables Allocation of Cases • Being responsible for the end-to-end process of allocating the case for post- assessment through to the start of ongoing therapy. • Consulting where necessary with Senior Clinicians to ensure a clear onward allocation pathway. • Being alert to safeguarding concerns and referring case to the Safeguarding leads where necessary. • In consultation with training supervisors, ensuring trainees are allocated appropriate cases in accordance with their level of clinical experience and training course requirements. • Negotiating with therapists and maintaining accurate information on therapist availability including location, times and start dates. • Ensuring qualified therapists are offering therapy availability to meet contractual requirements. • Contacting clients by telephone to broker therapy appointments and answering any questions they may have regarding the onboarding process. Liaising with therapists to ensure the smooth signposting of cases which • are not suitable to be seen within the service. Governance • Keeping service policies and protocols relating to allocations and intake under Data Management Reporting Financial Management continual review. • Supporting the Senior Leadership Team with ensuring clinical governance, policies and procedures are followed and updated. • Liaising with senior colleagues to address and manage clinical feedback and complaints. • Ensure case management information is accurately recorded the clinical CRM system. • Monitoring trainees clinical progress towards training requirements • Providing accurate reports to the Senior Leadership Team. • Support the timely and accurate charging of client fees by supporting the set up of recurring client payments, issuing invoices and processing payments. • Support clinical debt management by ensuring cases aren’t allocated where existing debt is outstanding. governance experience to join our organisation. We are particularly looking for enthusiastic
