Purpose of the role

The CTFD Training Programme Administrator plays a key role in the operations team, supporting the
effective administration of Tavistock Relationships’ Couple Therapy for Depression (CTFD) Continuing
Professional Development (CPD) and Postgraduate Diploma (PGDip) programmes.  The post holder
will be the first point of contact for students, trainers, and partner organisations, working across both
programme areas to support the smooth running and delivery of training. They will contribute to a
positive  learning  environment  and  support  trainees  throughout  their  journey  with  Tavistock
Relationships.

This  role  requires  excellent  communication  and  organisational  skills,  and  the  ability  to  manage
relationships with multiple stakeholders including trainees, teaching staff, and partner organisations.
Working across two major programme areas, the post holder will manage competing priorities and
contribute to delivering a high-quality and supportive training experience for all participants.

Responsibilities

Training Programme
Administration

•  Respond to general queries within agreed timeframes.
•  Support the recruitment and onboarding of trainees, ensuring all

documentation is completed promptly.

•  Maintain  accurate,  accessible  records  on  trainees  and  their
progression through the training, including attendance, learning and
assessment, and certification.

•  Supporting Programme leads to develop and prepare course

documents, for example course handbooks, user guides and reading
lists.

•  Track  assignment  submissions  and  grades;  manage  coordination

between trainees and supervisors.

•  Setup training rooms, including physical layout and materials.
•  Support the running of training related meetings.   Prepare  agendas,

distribute documentation, and take accurate minutes.

•  Act  as  the  main  point  of  contact  for  the  CTFD  CPD  and  PGDip

programmes.

•  Provide  day-to-day  support  to  students,  trainers,  and  Programme

Leads to ensure smooth programme delivery.

•  Support the development and maintenance of positive, collaborative

working relationships with all staff, students and partners.

•  Maintain an up-to-date database of key contacts.

•  Collect and analyse evaluation data, providing insight to programme

managers.

•  Capture key performance  data to support management, contractual

and accrediting body requirements.

•  Support  Programme  Leads  in  submitting  accurate  claims  to  funding

bodies.

•  Ensure self-funded training participants have paid all fees prior to the

AV and Digital

Schedule Zoom and MS Teams sessions, support trainers and trainees
with access.
Set up of audio-visual equipment for in person trainings.

•  Maintain the Learning Hub (Moodle) content and provide support to

users with accessing content.

•  Update relevant pages on the Tavistock Relationships website.
•  Use  basic  video  editing  software  to  prepare  trainee  roleplay

recordings for supervision.

•  Provide broader support to the Training Operations team as needed.
•  Assist  with  course  promotion,  working  with  Programme  Leads  to

distribute appropriate content within agreed timeframes.

and strategy at Tavistock Relationships.

Candidate specification

• Administrative experience in a demanding and busy environment, ideally in a clinical or
educational/training setting
• A customer service-oriented attitude, developed from experience in a customer facing role.
• Educated to degree level (desirable)
• Proficient in using Microsoft Office core applications (required), Zoom (desirable), Salesforce
(desirable), Moodle (desirable)
• Experience in using Audio Visual equipment (required)
• Excellent administrative and organisational skills, and the ability to plan ahead
