PROJECT SUMMARY:
IWPR has been active in Ukraine since the 2014 Ukrainian revolution, initially responding to the
need for more balanced conflict reporting and journalists' safety and security skills. Programming
later focused on support to a range of anti-corruption and government accountability initiatives
fostering capacity building and collaboration between civil society and the media.
Since the full-scale Russian invasion of Ukraine in February 2022, IWPR has expanded its existing
programming, to include support to media and civil society organisations in areas of countering
disinformation, documenting war crimes, frontline reporting, as well as media emergency support
and capacity building of investigative journalism centres.
In January 2025, IWPR started the new three-year “Boosting Citizens Watchdogs in Ukraine”,
supported by the Norwegian Agency for Development Cooperation (Norad). The project aims at
strengthening capacity of civil society watchdog organisations and independent investigative media
across the country to enhance their ability to conduct public monitoring and oversight of the
transparent and efficient management of public resources, and to foster effective advocacy for
transparency and accountability in governance, ensure high-quality public information, and
encourage meaningful civic engagement in decision-making processes.
JOB SUMMARY:
IWPR is seeking a Ukrainian-based professional to fill the Training/Events Coordinator position for
the “Boosting Citizens Watchdogs in Ukraine” project funded through Norad. The Training/Events
Coordinator shall be responsible for programmatic and logistical organization and delivery of IWPR
workshops, forums and other events, as well as related communications on all project activities and
events through IWPR, partners and outside channels, and report to the Ukraine Project Manager, at
a level of effort of 100%.
IWPR anticipates conducting annually up to 10 workshops, 10 webinars, and a few other events for
CSOs and media organisations across Ukraine as well as one national forum per year.
ESSENTIAL DUTIES and RESPONSIBILITIES:
For IWPR's Norad-funded Boosting Citizens Watchdogs in Ukraine project (UKR/24-043) the
Consultant shall be responsible for programmatic and logistical organization and delivery of IWPR
workshops, forums and other events, as well as related communications on all project activities and
events through IWPR, partners and outside channels, including the following functions;
- Contribute to design and adaptation of the project training, capacity building and
networking activities, advising respective supervisor on potential adjustments of actions
and procedures in light of changing requirements, security issues, risks and needs. - Map potential project counterparts and events participants in Ukraine and develop
effective working relationships with project partners and stakeholders. Provide interaction
and coordination with the projects current and potential partners. - Support training and capacity building needs analysis for targeted organisations and
individuals. - Ensure the delivery of project outputs and compliance with approved annual activity plans.
- Maintain databases and mailing lists of current, past and potential partners and
participants of various IWPR activities and events to ensure proper direct communications,
reporting and statistics of IWPR activities. - Provide full-cycle programmatic and logistical organisation and delivery of workshops,
forums and other offline and online events. - With support from programme team in programmatic planning of events, ensure
engagement of relevant trainers, guest speakers, moderators. - Oversee all contractors related to events organisation and delivery, including trainers,
conference service providers, venue, accommodation, video and photorecording, online
streaming, event communication providers etc. - Draft and manage contracts for events consultants and vendors. Prepare and/or review
related invoices and payment requests for accuracy and completeness. Contribute to
specific procurements needed for the events including bid solicitation processes. Comply
with record-keeping of the supporting documents online and in hard copies. - Ensure monitoring and evaluation data collection at the events, including questionnaires,
tests and polls prepared in coordination with the program team. - Develop and circulate announcements for the events and disseminate information via
IWPR communication channels, partners and other channels to ensure enrolment of
targeted participants. - Manage the participants' selection and enrolment process in coordination with the
program team, guiding the applications review process. - Gather relevant information on events delivery and participants, draft, edit and contribute
to programmatic reporting, analytical reports on the events impact and progress. - Lead basic communications related to all project activities directly, via direct mailing,
IWPR’s social media, interaction with partner’s social media, placement at related
websites, reposting of relevant partner posts. Oversee outsource providers of
communication services. - Provide high quality drafting of communication materials, including fact sheets, press
releases, success stories, brochures contributing to the project outreach and
communication activities. Compile materials for social media and IWPR’s global website
when required. - Represent IWPR at meetings, workshops, and other events. Coordinate activities with other
implementers, stakeholders, and institutions - Provide vetting of events participants, trainers and speakers. Serve as a back-up vetting
point for other project activities. - Undertake all other related duties that may be assigned.
CORE REQUIREMENTS:
- Bachelor’s degree in social science, business and administration, media and communications,
or other related fields. - At least 5 years of experience in project management, event organisation and partnerships
engagement; - Proven ability to work with multiple stakeholders, including government agencies, civil
society organizations, and international partners. - Proven track record in organising large-scale events with participation from multiple
stakeholders. - Demonstrable experience taking a leading role in the full event management cycle for both in
person and online events. - Experience in capacity building and training programs, particularly in the context of civil
society and media organisations. - Previous experience with the donor funded projects is strongly preferred.
- Solid knowledge of Ukrainian civil society and media landscape.
OTHER REQUIREMENTS:
- Excellent organisational and reporting skills.
- Negotiating skills to identify appropriate venues and contractors for events
- Ability to lead diverse teams of vendors, contractors and consultants.
- Advanced computer literacy in Word, Excel, PowerPoint, Outlook and experience in handling
web-based management and communication systems. - Excellent data management/filing organisation skills.
- Ability to work independently and manage multiple tasks under pressing deadlines.
LANGUAGE: Fluent or upper intermediate English, fluent Ukrainian
TRAVEL: May be required in 20% of time if security permits
