People Operations Coordinator
The People Operations Coordinator is a pivotal role within the People Team, responsible for delivering high-quality, end-to-end people operations across Somerset House Trust. The postholder will be the operational engine of the People function - owning people administration, payroll coordination, systems, data and first line support for employees and managers.
What we are looking for:
Employee Lifecycle Administration
- Own and drive people administration across the full employee lifecycle, including onboarding, contracts and variations, probation, family leave, flexible working and leavers.
- Support with all recruitment activity our application tracking system, Pinpoint
- Ensure all documentation is accurate, timely, compliant and aligned with Trust policies and employment legislation
- Proactively manage workflows, deadlines, and dependencies, anticipating issues before they escalate or impact employees or payroll
People Communication
- Independently manage the People inbox, responding to all queries with clarity, consistency, applying policy, process, and working knowledge of employment law pragmatically.
- Create the monthly People Newsletter (on WordFly) to showcase People Team initiatives and people changes across the Trust.
- Support the ongoing upkeep of the People Hub intranet, ensuring content remains accurate, accessible and up to date.
Payroll Administration
- Take full operational ownership of payroll administration across fortnightly payroll, working closely with managers, the Finance Team and our external payroll provider
- Collate, validate and sense‑check payroll data, proactively identifying discrepancies and resolving issues ahead of processing deadlines
HR Systems, Data & Reporting
- Be accountable for the accuracy, completeness and integrity of people data within our HR system (PeopleHR)
- Confidently produce people data and operational reports to support audits, internal reporting and people-informed decision-making
Learning & Development
- Own the administration and operational delivery of L&D, including booking sessions, tracking attendance and completion, as well as maintaining accurate records.
Diversity, Equity, Inclusion & Belonging
- Acts as a champion for DEI&B initiatives across the Trust, advocating and promoting these values in everything you do.
- Support DEI&B initiatives through accurate administration and insight, ensuring high‑quality people data underpins inclusive practice, representation and equity across the Trust’s creative and cultural workforce.
Team contribution
- Contribute to the delivery of People Team objectives and wider people projects as required
- Build trusted relationships across the Trust and with key stakeholders through responsive, reliable and solutions‑focused people support.
- Proactively identify and suggest improvements across the full scope of the role, informing enhancements to people systems and processes.
Skills, knowledge & expertise required for the role:
Experience:
- Solid administrative experience, ideally with a People/HR context
- Ability to work with integrity and discretion, manage confidentiality and handle sensitive information
- A passion and proactive approach to Diversity, Equity Inclusion and Belonging in the workplace
- Awareness of key aspects of employment law, with a desire to learn and develop knowledge
- Experience using people data and simple analytics to inform decisions and improve practice.
Skills:
- Strong organisational and planning skills, with the ability to prioritise effectively
- Strong interpersonal and communication skills, both verbal and written
- Excellent attention to detail
- Confidence working with digital tools and systems, including HRIS, learning platforms and Microsoft tools and SharePoint.
- High level of organisation and attention to detail, particularly when handling people data and sensitive information
- Microsoft Automate knowledge is a bonus!
