Job Title: People/ HR Administrator – People & Volunteers

Department: People and Operations Team

Reports to: Head of People and Operations

Location: KEMP Hospice, 41 Mason Road, Kidderminster, DY11 6AG

Contract type: Permanent

Working hours: Part time | 15 hours per week | 4 days per week | Monday to Friday | between the hours of 09:00 – 16:30

Salary: £10,509.00 (FTE £26,522.50 per annum)

Purpose of the Post

  • To support the Head of People and Operations in ensuring that KEMP Hospice is a great place to work and Volunteer
  • To maintain and update employee and volunteer records, as well as manage and maintain various HR systems, documents and internal databases

Main Duties and Responsibilities

  • Organise the maintenance of accurate and up-to-date employee and volunteer records, ensuring effective use of the people database
  • Work in partnership with the people team to ensure all people related tasks are completed efficiently, accurately and to a high standard.
  • Maintain and update the people databases, ensuring data integrity and compliance with organisational requirements
  • Organise the preparation and processing of HR documentation, including recruitment and on boarding paperwork.
  • Support the provision of a first point of contact for employees and volunteers, responding to transactional HR queries in a timely and professional manner. Also, to support the delivery and monitoring of mandatory training for volunteers ensuring appropriate support and ongoing development opportunities.
  • Assist in the organisation and coordination of internal activities, including recruitment processes, interviews and staff/volunteer events.
  • Ensure all safer recruitment procedures are followed, including the completion and maintenance of references, DBS checks and other role- specific compliance requirements.
  • Maintain comprehensive and accurate records of volunteers, including their roles and time contributed to the organisation.
  • Provide advice, information, a guidance to staff and volunteers through face-to face, telephone, and email communication.
  • Support initiatives to attract and recruit new volunteers, including participation in profile raising activities and events.
  • Attend internal and external meetings as required, including providing administrative support such as minute taking.
  • Undertake any additional duties appropriate to the role, demonstrating flexibility to meet the needs of the business
