Our staff are required to work on a range of different sites, including; college campuses, employer’s premises or communities local to your learners home - therefore willingness to travel is essential. There may be a requirement to transport learners in your own car, insurance implications are reimbursed. Mileage and expenses are provided for travel during the working day.

Job Purpose:

The Learner Services Coordinator will support college leaders and campus teams to improve learner attendance, engagement, participation and progression.

Working day to day under the direction of the Learner Services Manager, the postholder will coordinate learner services activity on site. This includes attendance follow up for identified learners, learner and family liaison, lost learning tracking, late starter induction tracking, signposting, information, advice and guidance and Life in Modern Britain activity.

The role is designed to help learners access the right support at the right time, feel welcomed and valued on site and remain engaged in their programme. The postholder will act as a point of liaison for learners identified through attendance, engagement or learner services processes, working closely with campus managers, tutors, learner services staff, families, carers and external professionals.

The postholder will support the implementation of agreed strategies and actions but will not work in isolation or create, change or override Positive Behaviour Support plans, behaviour strategies, risk assessments, therapy recommendations or curriculum decisions.

The postholder will also act as a Deputy Safeguarding Officer (DSO), working closely with the Safeguarding Team to support the safety, wellbeing, and welfare of learners and ensure concerns are identified and reported appropriately.

Main Responsibilities:

Your responsibilities will include, but are not restricted to:

Work under the day-to-day direction of the Learner Services Manager and in liaison with the Campus Manager to support learner attendance, engagement, participation and progression.

Act as a key point of coordination for learner services activity on site, ensuring learner concerns are followed up, recorded and escalated through the appropriate college processes.

Work with colleagues to support improved learner attendance, engagement and participation, acting as a point of liaison for learners identified through attendance, engagement or learner services processes.

LANDMARKS

Support positive daily learner transitions by helping to coordinate meet and greet and end of day farewell routines, ensuring learners are welcomed, settled and prepared to engage in their programme.

Use meet and greet routines to notice early signs of anxiety, disengagement, distress or barriers to learning, sharing concerns with the appropriate staff member promptly.

Help ensure learners leave college positively at the end of the day, with key messages, reminders, catch up work or home communication shared where required.

Promote a calm, welcoming and consistent learner services presence on site, supporting learners to feel known, expected and valued.

Monitor attendance and engagement information for identified learners, identify concerns and follow up agreed actions promptly.

Support attendance improvement by contacting learners, families and carers where appropriate, recording contact and escalating concerns through the agreed college process.

Liaise with tutors, Campus Managers, learner services colleagues and families to help identify barriers to attendance and support agreed actions to improve participation.

Coordinate lost learning by identifying missed learning, obtaining catch up work from tutors, sharing it with learners, checking completion and returning completed work to tutors for review.

Maintain evidence of lost learning follow up through college systems, including actions taken, work shared, completion checks and work returned to tutors.

• Coordinate induction tracking for learners who start after the September intake, ensuring agreed assessments, reports, support information, attendance expectations and induction actions are completed by the relevant staff in a timely way.

Monitor the attendance and engagement of late starting learners closely during their first weeks, raising concerns promptly with the Campus Manager and supporting early action where patterns of absence, lateness or disengagement emerge.

Facilitate home visits or provide short-term support for learners in their local community if they are struggling to engage with college.

Liaise with tutors, campus teams, learner services colleagues, families and external professionals to help late starting learners receive a clear, consistent and well planned introduction to college life.

Support Person Centred Review processes by providing relevant attendance, engagement, learner voice, family liaison, IAG and support information where requested.

Liaise with tutors, support staff, learner services colleagues and external professionals to help remove barriers to learning.

Support agreed Positive Behaviour Support strategies where relevant, without creating, changing or overriding behaviour plans, risk assessments or specialist guidance.

Refer behaviour, regulation or risk concerns to the Campus Manager and Positive Behaviour Support team.

LANDMARKS

Promote Information, Advice and Guidance and Life in Modern Britain resources and activities across the sites where you work.

Signpost learners and families to appropriate college services, therapy, careers guidance, local authority services, health, social care and community support.

Maintain accurate records of learner contact, interventions, referrals, actions and outcomes using college systems.

Attend relevant meetings, including attendance, engagement, behaviour, MDT triage, review and transition meetings, contributing information and following up agreed actions.

Work as part of the wider learner services and campus team, ensuring actions are agreed, communicated and reviewed rather than undertaken in isolation.

Provide learning support in sessions from time to time, under the direction of tutors and the Campus Manager, where this supports learner engagement, return to learning or continuity of learning.

Carry out the duties of the post in line with Landmarks’ policies and procedures, including safeguarding, health and safety, equality and data protection.

Support the recruitment, development, and ongoing participation of Learner Council representatives.

• Assist with Learner Council meetings, learner forums, focus groups, and consultation activities.

Support learners to express their views, wishes, and aspirations using appropriate communication methods.

Encourage learner involvement in College events, quality improvement activities, inspections, recruitment processes, and enrichment opportunities.

Deputy Safeguarding Officer Responsibilities

Act as a Deputy Safeguarding Officer (DSO) for the College, supporting the Designated Safeguarding Lead (DSL) in promoting the safety and wellbeing of learners.

Maintain a visible presence across the College and remain alert to indicators of safeguarding, welfare, wellbeing, and mental health concerns.

Receive, record, and report safeguarding concerns promptly in line with College safeguarding procedures.

• Contribute relevant information to safeguarding meetings, risk assessments, and support plans where appropriate.

Work collaboratively with the Safeguarding Manager to ensure safeguarding concerns are managed effectively and learners receive appropriate support.

• Promote safeguarding awareness, online safety, equity, diversity and inclusion, and positive behaviour across the College.

• Maintain accurate and timely records relating to safeguarding concerns in accordance with College procedures.

Attend safeguarding training and updates as required and maintain an up-to-date understanding of safeguarding responsibilities and reporting procedures.

Support the implementation of safeguarding actions and recommendations agreed by the Safeguarding Manager.
