Job description

Job Purpose
To provide comprehensive support and advice to staff and students on insurance matters, liaising with the appointed insurance broker, insurers, their appointed representatives and internal stakeholders to ensure effective running of the University’s insurance arrangements.
To support the Insurance, Internal Controls and Compliance Manager with strengthening the university’s existing financial control framework. This is to provide assurance to management that key financial controls are in place and being operated correctly through a cycle of process reviews and control testing across the University as a whole.
To provide comprehensive administrative support primarily across Insurance and to support the Financial Controller with papers for Finance Committee.
Main Duties and Responsibilities
Insurance
1. Daily triage of the insurance mailbox, using professional judgement to prioritise, answer, or escalate insurance related queries, dealing with external parties as required, whilst maintaining service standards.
2. Support the Insurance, Financial Controls and Compliance Manager with the planning and delivering of the annual policy renewal, and periodic tendering exercises, ensuring that all insurance policies are renewed in a timely manner and on beneficial terms.
3. Implement specialised University-wide initiatives to identify, reduce and mitigate insurance risks, liaising with internal stakeholders as necessary.
4. Responsible for -arranging ad hoc insurance as required, including insurance for new builds, liaising with insurers and internal stakeholders as necessary to ensure a full understanding of operational requirements and resolve issues.
5. Provide advice and guidance to stakeholders across the university on a broad range of insurance matters as required, largely working independently to resolve issues, escalating more complex issues where appropriate.
6. Ensure all documents, records, analyses and logs required for insurance purposes are maintained.
7. Provide support to the Insurance, Financial Controls & Compliance Manager in the handling of insurance claims, ensuring that they are dealt with effectively and in a timely manner.
8. Perform analysis of university wide data required for insurance purposes, including but not limited to travel data, valuations and inventories, highlighting and prioritising issues for further investigation and preparing reports to support decision making.
9. Process, update and reconcile University financial records with respect to a broad range of insurance matters using specialist knowledge to ensure records are maintained in line with university procedures, regulations and legislation.
10. Main point of contact for insurance matters, dealing with a wide range of stakeholders across the university, the appointed insurance broker and numerous loss adjusters.
Internal controls
11. Contribute to the development of, and responsible for implementing, a programme of controls testing to check whether financial controls are designed, implemented and operating effectively and recommending to the Insurance, Financial Controls, and Compliance Manager remedial actions that may be required to ensure and maximise compliance.
12. To assist in ensuring that the University Financial Regulations and supporting policies & procedures are regularly reviewed and updated.

13. Support the Financial Controller with the timely preparation of the relevant Finance papers for the regular Finance Committee meetings.
14. To support Treasury and Financial Reporting teams with workload when time allows as there are downtimes with insurance requirements.
Knowledge, Qualifications, Skills and Experience
Knowledge and Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 7 (Advanced Higher/Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.
Desirable:
B1 Previous knowledge of insurance.
Skills
Essential:
C1 Proficient in Microsoft Office, especially Excel and Word.
C2 High level of attention to detail and numerical accuracy.
C3 Excellent communication, analytical, and problem-solving skills.
C4 Strong organisational and time management skills.
C5 Strong ability to independently prioritise a diverse and busy workload.
C6 Ability to analyse data and appropriately present summary information.
C7 Ability to demonstrate initiative and decision-making ability/judgement with regard to resolving issues and determining appropriate action.
Experience
Essential:
E1 Capable of managing multiple priorities in a dynamic environment.
E2 Experience of dealing effectively with a range of stakeholders, internal and external, using initiative to proactively resolve problems arising.
E3 Experience of and proven ability to work to tight deadlines.
E4 Ability to work independently and collaboratively.
Desirable:
F1 Experience of using Agresso accounting software.
F2 Experience of working in a finance role or an insurance administrative role.
Terms and Conditions
Salary will be Grade 5, £28,031 - £31,236 per annum.
This post is full time (35 hours per week) and fixed term for up to 12 months in the first instance.
