About the Role

We're looking for an exceptional Executive Assistant to provide high-level support to our Chief Operating Officer (COO).

As a trusted partner to the COO, you will help to ensure the smooth and effective running of a large and complex operational portfolio. You will play a key role in managing priorities, coordinating activity, and enabling strategic objectives to be delivered successfully.

You will work closely with senior leaders and a wide range of internal and external stakeholders, including trustees, commissioners, regulators and partner organisations, ensuring excellent communication, organisation and professionalism at all times.

Key Responsibilities

  • Manage the COO's complex diary, ensuring effective prioritisation and use of time.
  • Maintain forward plans and monitor key milestones, deadlines and actions.
  • Prepare daily and weekly briefings, action trackers and decision logs.
  • Coordinate and quality assure meeting agendas, papers and supporting documentation.
  • Take accurate minutes and ensure actions are tracked and completed.
  • Organise meetings, visits, events and travel arrangements.
  • Prepare presentations, reports, briefings and other executive documentation.
  • Act as a key point of contact for internal and external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Raise purchase orders, process invoices and maintain accurate records.
  • Support the wider senior leadership team and contribute to effective cross-organisational working.

About You

You'll be an experienced Executive Assistant who thrives in a fast-paced environment and enjoys working proactively to support senior leaders.

  • Proven experience supporting senior executives at CEO, COO or Director level.
  • Outstanding organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and emotional intelligence.
  • Exceptional attention to detail and the ability to manage multiple priorities.
  • A proactive, solutions-focused approach and the confidence to work independently.
  • Experience handling sensitive and confidential information.
  • Strong IT skills, including Microsoft Teams, Word, Excel, PowerPoint, SharePoint and Zoom.

Experience within a charity, public sector or similarly complex organisation would be highly advantageous.
