We are looking for a professional, organised and customer-focused Customer Services Assistant to join our team. This is an excellent opportunity for someone who enjoys delivering outstanding customer service while ensuring the accurate administration and management of patient records.

You'll play a vital role in supporting patients, consultants and colleagues by maintaining high-quality medical records, handling enquiries and ensuring information is managed securely and efficiently.

As a Customer Services Assistant (Medical Records), you will:

  • Prepare patient files for admissions.
  • Gather, process and maintain patient medical records in both electronic and paper formats.
  • Ensure patient records are accurate, complete and available within agreed timescales.
  • Scan and upload documentation to electronic patient record systems.
  • File, archive and retrieve medical records efficiently.
  • Monitor data quality and resolve missing or incomplete documentation.
  • As a Customer Services Assistant (Medical Records), you will:
    • Prepare patient files for admissions.
    • Gather, process and maintain patient medical records in both electronic and paper formats.
    • Ensure patient records are accurate, complete and available within agreed timescales.
    • Scan and upload documentation to electronic patient record systems.
    • File, archive and retrieve medical records efficiently.
    • Monitor data quality and resolve missing or incomplete documentation.
    • Process Subject Access Requests within required timescales.
    • Liaise with consultant secretaries to obtain clinic letters and other documentation when required.
    • Confirm and record insurance membership and authorisation details for inpatient admissions where applicable.
    • Respond to customer and patient enquiries in a professional, courteous and timely manner.
    • Build positive working relationships with colleagues, patients, visitors and healthcare professionals.
    • Maintain the highest standards of confidentiality, ensuring compliance with GDPR and Information Governance requirements.

Experience using Electronic Patient Record systems or medical records management systems would be an advantage.
