COMMUNICATIONS AND ADMINISTRATION ASSISTANT JOB DESCRIPTION
Reporting to: Head of Communications and Public Relations
Hours: Part-time: 18.5 hours per week. 0.5 FTE
Purpose of the role
o To provide various administrative support to the Communications Department.
o To assist with planning and content gathering.
o To build and maintain a filing system.
o To assist with content production.
o To research and write stories.
Responsibilities
o Assist with the organisation, filing, and archiving for our shared drive and SharePoint, using naming conventions.
o Assist with the constant gathering of information from across the college that could be relevant to feature in internal newsletters.
o Assist with the thematic ordering and categorisation of newsletter content.
o Assist with the development and maintenance of the communal calendar and Motion project planning calendar.
o Assist with content production, including video shooting, as directed.
o Assist with research into copyright permissions and music licences for possible content.
o Assist with the sourcing of animated content.
o Assist with the research and drafting of written stories for the college website.
o Assist with the social media moderation process, highlighting where responses or actions are appropriate.
o Assist with scanning the Kinetix system for event information relevant to communications.
o Assist with a variety of general administration tasks, including monitoring the Communications email and responding to standard queries, or escalating requests to team members, as appropriate.
Person Specification
Essential Requirements
• Educated to A level standard/NVQ level 3 or equivalent of practical experience.
• Self-starter, good time management, creative, with the ability to communicate in a professional manner.
• Ability to work well independently and within a team.
• Ability to prioritise effectively, work under pressure and to deadlines.
Excellent interpersonal skills, including a high level of proficiency in verbal and written communication.
Experience with digital filing.
Experience in gathering and writing content.
• Must be computer literate.
• Understanding of the basic principles of public relations and/or marketing.
• Ability to collaborate positively with all members of the College community.
• Excellent time-management skills and can work on multiple projects simultaneously.
• An eagerness to innovate and generate new ideas.
Desirable Requirements
• Experience in SharePoint, MailChimp, Canva, and Excel or similar spreadsheets.
• An eye for design.
• Previous experience in admin, communications or the media.
• Understanding of a collegiate university.
Additional Requirements
• Ability to work occasional weekends and evenings
