We are an independent local charity based in Bosham, Chichester, offering a wide range of services to support our patients, and their loved ones, who are living with a life limiting or terminal illness.

The work we do makes a real difference to the lives of local people and we support over 330 patients at any one time between our In Patient Unit and Community teams.

Being a Clinical Administrator at St Wilfrid’s

Part-time / Permanent / 22.5 hours per week (9:00am – 5:00pm) / Monday, Tuesday & Wednesday / Office based

This is a people-focused role, supporting patients, their families, loved ones and clinical teams across Community, Family Services, Living Well and the In-Patient Unit.

You will be a key point of contact for patients, carers, families and loved ones, offering a calm, compassionate and professional response to telephone calls. Many conversations will be sensitive in nature, so strong listening skills, clear communication and empathy are essential.

The role also involves a range of administrative and coordination duties to support clinical teams, including:

  • Reaching out to newly referred patients to introduce the hospice and guide them through the next steps in their care
  • Processing referrals
  • Preparing and processing clinical correspondence and letters
  • Attending clinical meetings and taking minutes, where medical terminology is used throughout
  • Supporting clinical teams with records, documentation and coordination tasks
  • Maintaining accurate patient information on clinical systems

This is a busy, fast-paced role where priorities can change throughout the day, requiring good organisation, flexibility and the ability to manage competing demands.

You will work with systems including SystmOne, Affinity, MediViewer, ICE and Microsoft Office. Full training will be provided, however confidence in learning and using digital systems is important.

We are looking for someone who is an excellent communicator, as well as being empathetic, resilient and highly organised, and who works well both independently and as part of a supportive team. This role is key in ensuring patients, families and loved ones receive a coordinated and compassionate service experience.

Qualifications and Experience

  • Right to work in the UK
  • Experience of working in a busy medical environment, providing administrative support duties
  • Proficient in a full range of standard office software including Microsoft Office (Word, Excel and Teams)
  • Experience of using clinical databases (SystmOne, Affinity, MediViewer, ICE)
  • An understanding of palliative care
