Job purpose

The receptionist provides a warm, professional, and efficient front-of-house service for Russell Churcher Court, ensuring that all residents, visitors, staff, and external partners receive a positive and welcoming experience. The postholder manages incoming enquiries, supports smooth daily operations through a range of administrative tasks, and acts as a key communication link between residents, families, staff, and the wider Trust. The role is essential in promoting a safe, well-organised, and friendly environment that reflects the high standards of the Trust.

Working hours

21 hours per week – 9am till 4.30pm including 30 mins unpaid lunch.

Shift pattern to include alternate weekends as follows:

  • Week 1 & 3 – Monday/Tuesday/Wednesday
  • Week 2 & 4 – Monday/Saturday/Sunday

Key responsibilities

Front of House & Visitor Experience

  • Provide reception cover and act as the first point of contact for all visitors, suppliers, and callers, ensuring a friendly, calm, and professional welcome
  • Control and monitor the safe movement of people entering and exiting the building
  • Maintain a clean, organised, and welcoming reception area
  • Accompany prospective residents and their families on tours of the home when required
  • Encourage visitors to leave feedback and, where appropriate, direct them to the carehome.co.uk review portal to help maintain accurate and up-to-date ratings
  • Build positive relationships with families and visitors, supporting a pleasant and meaningful visiting experience
  • Go the extra mile to deliver an outstanding customer experience

Communication & Resident Support

  • Listen to residents’ queries and concerns, passing information promptly to the relevant staff members to ensure effective follow-up
  • Support communication between residents, families, and staff, helping ensure everyone receives timely and accurate information
  • Handle incoming telephone calls professionally, responding to enquiries—including potential customer enquiries via carehome.co.uk—and sending out brochures or information as required

Administration & Record Keeping

  • Liaise with all areas of the Trust, including housing, maintenance, accounts, IT and Head Office, ensuring smooth workflow
  • Ensure prospective customer forms are completed promptly and accurately
  • Produce and send letters, emails, notices, posters, and other correspondence in various formats as required
  • Maintain up-to-date and accurate resident records, filing systems, and documentation, ensuring full compliance with Data Protection legislation and internal policies
  • Ensure the workstation is secure at all times, including locking the desktop when not at the desk
  • Prepare, check, and distribute incoming and outgoing mail daily
  • Assist with tasks such as prescription collection or dropping off samples, where required
  • Assist with staff, resident and organisational surveys

Procurement & Inventory Management

  • Process name badges, stationery orders, cleaning supplies (obtaining COSHH documentation when required) and other ordered items within agreed financial limits
  • Maintain at least 10 sets of promotional materials to ensure consistent availability of accurate information for prospective residents

Operational & Compliance Support

  • Provide administrative support to the Registered Manager and senior management team, including supporting audits, projects and compliance activities
  • Oversee the six-monthly maintenance review schedule for wheelchairs, hoists and slings at Russell Churcher Court
  • Adhere to all Trust policies and procedures, including those relating to Health and Safety, Data Protection, safeguarding, confidentiality and cyber security
  • Attend mandatory and role-specific training as required to maintain knowledge, skills, and professional standards
