About the role

As Assistant Exams Officer, you will support the effective planning, administration, and delivery of external examinations. The role is designed to strengthen capacity within the Exams Office, reduce operational risk, and ensure continuity of expertise across the academic year in a function that is critical to the school’s academic outcomes and regulatory compliance. In particular, the role addresses increasing demand and complexity in exam administration, including the rising number of students requiring access arrangements and the need for consistent, year-round support.

Key responsibilities

Support the administration of external examinations (GCSE, iGCSE, A Level, BTEC and other qualifications)

• Assist with exam entries, amendments, and withdrawals in line with awarding body deadlines

• Maintain accurate candidate records and examination data systems

Support the preparation and submission of coursework and controlled assessment marks

Access arrangements and inclusion

• Assist in the coordination and implementation of exam access arrangements

Maintain accurate and confidential records relating to students requiring adjustments

Support the organisation of appropriate exam venues and staffing for students with additional needs

Contribute to ensuring compliance with JCQ regulations on access arrangements, and other boards as per inspection routines.

Exams logistics and delivery

Support the organisation of examination timetables, seating plans, and room allocation

• Assist in the preparation, secure handling, and distribution of examination materials

Support the packaging and dispatch of completed scripts in line with awarding body requirements

Work closely with Lead Invigilators to ensure exams run smoothly

Compliance and regulation

Ensure all processes adhere to JCQ and awarding body regulations

Support the maintenance of documentation, policies, and audit trails

Assist with inspections or reviews relating to the school’s status as an exam centre

Stakeholder communication

• Provide administrative support in communications with staff, students, parents, and external bodies

• Assist in responding to queries relating to exams, timetables, and procedures

Support the dissemination of key exam information across the school

Operational support and risk mitigation

Provide continuity and institutional knowledge within the Exams Office across the academic year

• Reduce reliance on a single point of expertise during peak periods

Support workload distribution during high-pressure exam seasons. This will include longer working days during peak exam season (May-June). Flexibility of hours over the course of the academic year will be possible.

• Contribute to ensuring the resilience and sustainability of the exams function

Remotely manage the review of marking process, keeping accurate records and communicating with parents and pupils in a timely manner

• Be present on both A Level and GCSE results day

• Invigilate internal examinations when required throughout the year, if work flow allows

You will be expected to:

• Conduct yourself with professionalism, tact and diplomacy at all times as a representative of Kingswood

Observe health and safety procedures and work safely at all times

To comply with all school policies and procedures including reporting any concerns to the appropriate person in relation to those covering child protection, health, safety, welfare, security, confidentiality and data protection.

No job description can fully cover all aspects of the role and consequently the responsibilities are likely to evolve and change over time.

Skills, qualifications and experience

The ideal candidate will demonstrate strong organisational and administrative skills, with a high level of attention to detail and accuracy. They will be able to manage multiple priorities effectively while meeting strict deadlines, and possess strong interpersonal and communication skills to work collaboratively with colleagues. The role requires the ability to handle sensitive and confidential information with discretion, along with competence in IT systems, particularly in relation to data management. Additionally, the successful candidate will be able to remain calm and composed under pressure.

Experience working within a school or examinations environment, a sound understanding of exam board processes and procedures, and experience in supporting access arrangements would further strengthen suitability for the role.

It is your responsibility to help promote and safeguard the welfare of children and young persons for whom you are responsible, or with whom you come into contact, and to adhere to and ensure compliance with the School’s Child Protection Policy Statement at all times. If, in the course of carrying out the duties of the post, you become aware of any actual or potential risks to the safety or welfare of children in the school, you must report any concerns to the School’s Designated Safeguarding Lead. Protecting children from the risk of radicalisation is part of the School’s safeguarding duties (under the Prevent Duty).

Terms and conditions

Normal hours of work for the role will be 20 hours per week, during term time plus an additional 8 weeks (42 weeks per year total). Paid holiday entitlement is 6.6 weeks pro rata, including public holidays.

The salary for this part-time, part year role will be £17,447.13 per annum (£35,000 Full Time Equivalent).
