We are currently looking for an organised and proactive Administration Assistant to join us at our office based in Kirkcaldy.

About the role
As an Administration Assistant, you’ll be the welcoming face of our office, providing a professional reception service and essential administrative support. From handling calls and coordinating meetings to managing supplies and assisting colleagues, you’ll play a key role in ensuring everything operates seamlessly. You’ll also have the opportunity to bring your organisational skills to the forefront and contribute to the smooth running of day-to-day operations.

Responsibilities include:
• Ensure telephone calls are dealt with efficiently, professionally, and promptly
• Provide a first-class professional reception service with a welcoming approach to all Sense Scotland staff and visitors
• Co-ordinate room booking system, set up meeting rooms, and ensure all meeting rooms are maintained to a high standard
• Ensure security standards are adhered to, issuing ID badges and fob keys
• Maintain stationery supplies and inventory levels
• General office duties including archiving, typing, filing, photocopying, and diary management
About you
We’re looking for an enthusiastic and reliable Administration Assistant to join our team. You’ll bring a strong background in administrative tasks and a professional approach to supporting the smooth running of our operations and meeting deadlines. You are well-organised, have excellent communication skills, and are confident working both independently and as part of a team.
You will have experience in administration, a professional telephone manner, and be computer literate with a good understanding of word processing, spreadsheets, and databases. A confidential and professional approach to work is essential, along with the ability to stay self-motivated and take initiative when needed.
