May work in direct contact with Museum visitors and researchers, Fellows of the Society, and other staff of the Society Salary: Job Summary Pro rata £29,500 p/a (equivalent of £17,700 p/a for 21 hours per week) The Society of Antiquaries is seeking to appoint a part-time Loans Coordinator to join the Collections team. Reporting to the Head of Collections at Burlington House, the Loans Coordinator will play a key role in improving access to the collections held both at Burlington House in London and Kelmscott Manor in Oxfordshire by processing loan requests and renewals and updating historic loans documentation. On a day-to-day basis this work will involve liaising with borrowers from the UK and overseas on behalf of the Head of Collections at Burlington House and supporting the Curator at Kelmscott Manor. The purpose of this role is to raise the profile of the Society’s unparalleled collections through loans to museums and galleries worldwide. In doing this, we aim to increase our engagement with new audiences as well as Fellows and Affiliate Members of the Society. The Collections The Society's collections comprise printed books (from 15th century to the modern day), the Society’s archives (from 1707 onwards), manuscripts (from 10th century to 20th century), periodicals (historic and current holdings), prints and drawings, brass rubbings, archaeological artefacts spanning the Prehistoric to the early modern period, paintings, seal impressions, ceramics and textiles. Our diverse collections are of interest to a wide range of researchers and audiences worldwide. At Kelmscott Manor the collection largely comprises furniture, paintings and drawings, textiles, metalwork and ceramics owned, designed or made by members of the Morris family and their circle. Main activities and responsibilities Exhibition and research loan administration Loans Coordinator job description October 2025 To administer all operational aspects of exhibition and research loan requests. JOB DESCRIPTION JOB TITLE: Day Porter and Security Manager HOURS: Full time, weekdays 8.30 – 5.30 RESPONSIBLE TO: Building and IT Manager OVERALL PURPOSE OF THE JOB The main purpose of this job is to manage the security of the premises at Burlington House, as well as responsibility for maintenance management of the premises. This role is based at the reception desk of the building and as such is a key point of contact for Fellows, visitors and staff. The Society of Antiquaries The Society is a registered charity and the senior national Learned Society in Britain concerned with the study and understanding of the past. It is an elected college of 3,200 Fellows, drawn from scholars and practitioners working in the fields of archaeology, architectural and art history and conservation. The Society houses a busy research library; an active venue hire schedule in addition to holding our own events and conferences. MAIN DUTIES AND RESPONSIBILITIES Security • Responsible for the day-to-day security of the premises, opening and locking up the premises as required. • During the day, be responsible for routine security of the Society's entrances and exits and meeting rooms, supervision of CCTV systems, and monitoring the arrival and departure of the Society's Fellows, visitors and contractors. • Responsible for the alarm and fire systems and management of BH Courtyard access for SAL visitors and suppliers. Front of House • Responsible for welcoming Fellows and visitors to Burlington House, ensuring that they are announced to the appropriate staff member where applicable. Maintenance Page 1 of 3 • Responsible for the day-to-day supervision of the maintenance of the Society's apartments. • Responsible for the supply of occasional cleaning materials, light bulbs and laundry, performing minor repairs. Maintain, and arrange repair when necessary, of the Society's cleaning equipment. • Responsible for management of contractors and service engineers on site. • Undertake, when required, any routine minor maintenance jobs and repairs of the internal fabric and services of the Society's apartments. • Manage and maintain heating and ventilation services in building. • Keeping areas clean, organised and safe. • Responsible for scheduling annual servicing when required. Storage • Manage storage of Society publications. • Liaise with Head of Library & Collections and Publications and Communications Manager over storage arrangements for the Society's publications and promotional material. Health and Safety • Manage building, facilities and services according to latest Health and Safety standards and assist Building and IT Manager in delivering staff training, inc. fire risk assessment and prevention and also emergency procedures. • Responsible for acting as a keyholder in the event of an emergency. Other • Assist in the documentation of the security and maintenance management processes • Ad-hoc tasks as designated by the Building and IT Manager Basic hours of duty are 8.30am – 5.30pm (later during evening events), Monday to Friday, with a lunch break of one hour. In addition, overtime attendance will be required due to the use of the premises by the Society and other bodies hiring the premises. In practice, Page 2 of 3 this means routinely opening the premises at 8.00am and locking up on an average of 3-4 nights per week during the period September-July between the hours of 6.00pm and 8.00pm. In addition, occasional Saturday duty may be required. Overtime is classed as extra hours worked beyond your basic hours of 8.00am-6.00pm.
