PURPOSE OF JOB To assist the Finance Manager with a wide range of administrative, financial and other tasks which support the smooth and efficient running of the administrative and financial operations of the organisation. MAIN DUTIES AND RESPONSIBILITIES Under the supervision of the Finance Manager, the main duties of the Finance Assistant may include, but are not limited to, the following: • Assist with daily cash and banking tasks • Processing income and expenses using spread sheets and accounts software • Processing purchase invoices using accounts software • Recording and analysing monthly expenses • Accurately raising invoices for customers • Assist with updating, preparing and analysing figures and reports • Maintaining databases of contact details in line with Data Protection Laws • Other data entry - updating spread sheets and databases • Booking and assisting in the set-up of meetings (in-person and online) • Assist with typing-up notes and minutes of meetings • Filing, scanning and other office tasks • Communicating with suppliers Finance Assistant Job Description and Person Specification 2026 • Costing and ordering office supplies and other items Other Duties and Conditions of Service • Welcome and engage with members of the public and others visiting the venue, with a friendly, professional manner and excellent customer service • Answer the telephone, pass-on and help to deal with enquiries • Occasional housekeeping duties across the Visitor Centre, as required by the business • Occasionally help to cover other tasks and customer-facing roles • Occasionally help at events including festival days and some evening events • Other tasks may be required as determined by the needs of the business • The Finance Assistant will be expected to work flexible hours including occasional weekend and evening work This is not an exhaustive list of responsibilities and the post holder may be expected to undertake other duties within the remit of the job and appropriate to their level of seniority as requested by Management. Tender Brief: Review and Development Planning for Fundraising, The Black Watch Regimental Trust The Black Watch Regimental Trust was formed in April 2022 when The Black Watch Association and The Black Watch Castle and Museum amalgamated to form the new Trust. The Charitable Mission of The Black Watch Regimental Trust can be summarised as: Providing Welfare / Promoting Comradeship / Preserving Heritage More detail can be found within the Support Us section of our website: https://theblackwatch.co.uk/support-us/ The Brief Under the Preserving Heritage part of our charitable mission, we have exciting plans to develop and update our museum, enhance engagement with our guests and care for the items in our Collection and Archive. We are at the start of our fundraising journey and we would like to explore how fundraising may help us achieve our Charitable Mission. We are seeking to employ the services of a Fundraising Consultant to help us: • Establish the potential for fundraising on behalf of the Trust • Create a plan for developing our strategy and approach to grow fundraising income to support our charitable activities. We currently have no dedicated Fundraising Team but our Board of Trustees are very committed to developing fundraising as a substantial and permanent income stream for the Trust. We would welcome submissions from Fundraising Consultants that describe the process and approach they would propose to use, the personnel who would be working on the project, timescales, outcomes and the proposed cost for the works detailed. As we are at the start of our fundraising journey we are very open minded to how each consultant would approach the project and set us on a positive track.
