Role Title: Welcome Desk Assistant (Student Staff)
Salary: £12.71 + Accrued Holiday Pay
Location: Oxford, Headington
Eligibility: You must be currently enrolled as a student at Oxford Brookes University at the time of holding the post and hold the right to work within the UK.
Role Type: Zero Hours Casual Contract (expectation 5-10 hours per week, daytime and evening shifts available
About the role:
The Welcome Desk Assistant role is an excellent opportunity for a student at Oxford Brookes University to gain valuable experience in customer service, administration, and communication. You will be based at the Brookes Union reception desk and will be the first point of contact for visitors to Brookes Union. You will play a vital role in creating a welcoming and informative environment. Our reception is staffed between 10am and 10pm.
Main Purpose of the Role:
- Greet visitors in a friendly manner, answer questions, and provide general information about Brookes Union, the University and the Headington Campus.
- Direct visitors to the societies, student advice services, or the appropriate staff member when needed.
- Provide an excellent level of customer service and handle enquiries from a variety of people.
- Support Brookes Union to deliver its core function of representing students by enabling students to be active members of the Brookes community.
- Assist with administrative tasks such as replying to emails, answering phones and assisting with ad hoc tasks as well as monitoring Union and University spaces while in use by student groups.
- Support Brookes Union to deliver on its strategic aims: including Collaborative Change, Employability & Belonging.
Key Responsibilities:
Customer Service Responsibilities:
- Maintain a welcoming, friendly, and inclusive atmosphere, ensuring you are both visible and approachable to students, staff, and visitors, leaving a positive impression of Brookes Union.
- Act as a first point of contact for dealing with enquiries, questions, and complaints from students, staff, and visitors while ensuring the safe use of all facilities booked via Brookes Union.
- Process sales and orders accurately via the point of sales system.
- Assist with inventory management, keeping stock well organised and tidy and collating feedback from customers to improve the range of merchandise products on offer.
Administrative Responsibilities:
- Responsibility for answering phones, taking messages and responding to and organising email communications.
- Signposting student enquiries to existing resources across the Union, University and locally.
- Provide administrative support for Union activities and completing other tasks commensurate with the role.
Operational Responsibilities:
- Effectively escalate and report any incidents that occur whilst undertaking the responsibilities of your role.
- This includes liaising with Brookes Union/ University staff where appropriate.
- Prepare facilities and spaces for student-led activities and ensure that all spaces are returned to the set up and condition they were in prior to being used.
- Assist with the efficient and safe evacuation of all booked activities and sessions in the event of an emergency evacuation.

General Terms:
- Contribute to, or take part in occasional organisation-wide events and activities including Freshers Fair, Awards Ceremonies, Open Days, elections, Officer Campaigns and organisational change projects or similar
- Ensure, and role-model, a positive organisational culture at all times, living by the Union’s values, maintaining a professional approach to work.
- Minimise environmental impact by attending to your duties in a resource efficient manner, and actively support the delivery of the SU's Environmental Policy in the performance of your role.
- Support the elected Officers to deliver on their manifesto pledges or other ideas, campaigns and lobbying using whatever means available to you
- Any other necessary duties as required.
