WAREHOUSE AND LOGISTICS OFFICER

MAIN AIMS OF THE ROLE

● Champion and demonstrate a commitment to the pursuit of Zarach’s mission and values.

● To provide high quality service to all stakeholders, including Zarach staff and trustee team, volunteers, third party suppliers, donors and beneficiaries.

● To both directly carry out and support Zarach volunteers in the identified range of tasks that maintain warehouse standards, and prepare and deliver bed bundles to beneficiaries, as per approved procedures and practices.

● Led by the Warehouse & Logistics Manager, maintain accurate inventory control and management processes, ensuring stock is recorded, stored, and prepared in line with agreed procedures.

● Work in line with all agreed Health & Safety policies and procedures to ensure a safe working environment for yourself, other staff, volunteers, visitors to our premises and the beneficiaries we support.

● Ensure the bed delivery process is completed accurately and efficiently. This includes: conducting pre-drive safety checks on the van, ensuring safe and space-optimised loading, planning and following efficient delivery routes, verifying that required paperwork is correctly completed for each delivery, and ensuring all procedures are followed. Report any safeguarding concerns immediately in line with Zarach policies.

KEY DUTIES AND RESPONSIBILITIES

LOGISTICS

● Carry out deliveries of beds and bundles according to agreed routes and schedules, working collaboratively with the Family Engagement team to ensure delivery timing aligns with service needs and maintains an efficient service.

● Complete all relevant delivery records and report any issues or feedback from beneficiaries to the Warehouse & Logistics Manager.

● Ensure vehicles are loaded securely and maintain cleanliness and tidiness inside the vans.

● Carry out basic vehicle checks such as fuel, tyres and lights before and after use and report any concerns immediately.

● Contribute insights from delivery interactions to support broader service delivery objectives.

WAREHOUSE AND INVENTORY MANAGEMENT

● Assist with warehouse maintenance tasks, working safely and liaising with external contractors as directed by the Warehouse & Logistics Manager.

● Assist with the receipt and despatch of deliveries, including beds, mattresses, and bed bundle items.

● Accurately record warehouse stock movements, following inventory systems and procedures.

● Participate in routine stock checks, reporting all discrepancies or damaged items to the Warehouse & Logistics Manager.

● Support the preparation and assembly of bed bundles and delivery packages.

VOLUNTEER SUPPORT

● Work collaboratively with the Volunteer Team to lead and support teams of bed delivery volunteers, including briefing and debriefing, recognising and celebrating those who dedicate their voluntary time to Zarach, ensuring a positive and supportive environment.

● As Designated Safeguarding Officer, serve as the primary point of contact for volunteers regarding any safeguarding concerns, providing a listening ear and ensuring they receive group supervision. Report all safeguarding concerns to the Warehouse and Logistics Manager in line with organisational policies.

GENERAL

● To be a champion and ambassador of the mission and values of Zarach in all aspects of work and in all interactions with Zarach stakeholders.

● Attend a quarterly (or other agreed frequency) 1-1 meeting and annual appraisal with your line manager to support you in fulfilling your duties and responsibilities and in reviewing your progress against set objectives.

● Attend required meetings (internally and externally) that support the development of Zarach, its team, ways of working and relationships with stakeholders.

● Identify and attend training that will support you in fulfilling your duties and responsibilities and professional development and in ensuring that Zarach meets legal and best practice standards.

● Follow all Zarach policies and procedures and terms of your contract.

● Undertake any other reasonable duties that supports the fulfilment of the main aims of this post and the ongoing development of Zarach.

● Manage any budgets assigned to you.
