In 2025 Cheltenham Festivals celebrated it’s 80th birthday. With decades of Festival events and learning and participation projects comes a plethora of physical and digital content including photos, videos, audio recordings, printed brochures, posters and more. As our collection has grown we’ve struggled to streamline our access to everything, meaning we’re not able to fully utilise the impressive collection we’ve built up over the years.

In order to help us improve, we have now built a Digital Asset Management System (DAMS) through a platform called Brandfolder. The aim is to digitise and upload as much content as possible into this system, where it will then become searchable and much more easily accessed by staff. Our priority for now is our collection of photos, videos and audio recordings, and we need the help of our trusted volunteers to get this content uploaded.

Description of Tasks

• Download photos, videos and audio recordings from other existing storage platforms in order to move them into the new DAMS
• Upload audio recordings into AI tool TurboScribe in order to generate transcriptions that will also need to be uploaded into the new DAMS
• Tag each photo, video and audio recording with relevant keywords in order make each file searchable within the DAMS
• The work will need to be conducted at Cheltenham Festivals office at 53-57 Rodney Road, Cheltenham
• We hope to have the support of a volunteer one day per week for 12 weeks but this can be flexible depending on availability

Support Available

• The Head of Marketing & Communications and/or Digital Marketing Manager will be on hand to answer any questions and help along the way
• A how-to guide will be produced to give a step by step on exactly how to download and upload each type of content
• A laptop will be provided for you to use at the office as well as logins to each platform needed to complete the tasks
