Volunteer Business Support ROLE DESCRIPTION Role Purpose: To provide over the telephone advice, information and support to professionals and clients. To maintain the smooth running of Southside reception and office. Location: Office base at Meade House, Wedgwood Road, Bath, BA2 1QN. Confidentiality: The worker will be expected to abide by Southside’s Confidentiality Policy at all times. Information Governance: The worker will be expected to follow Southside’s Information Governance policies and procedures as defined by the NHS Toolkit. The below will be dependent on the commitment the volunteer is able to give and their desire for involvement and learning. All post requirements can be reasonably adjusted according to the volunteer’s commitment. Main Duties and Responsibilities of the Post: Receiving and dealing with calls, referrals and queries from workers, other professionals and members of the public. Taking self-referrals from clients wanting Family Support or Domestic abuse support who at times may be distressed or in need and handling these sensitively and compassionately. To ensure that the telephone is answered promptly during office hours and messages passed on immediately. To provide advice and signposting for parents/carers, victims of Domestic Abuse and professionals. Accurately recording client and professional calls onto our database, ensuring security and confidentiality of personal and sensitive data at all times. To ensure that all callers to Southside are treated courteously, helpfully and sensitively, always being mindful of confidentiality in respect of service users. As part of the Business Support team ensure that the reception area and general office is clean, tidy, welcoming and maintained to a high standard. Other Duties: Work at all times within the policies, procedures and ethos of Southside. To attend meetings and training as required. Whilst this role description attempts to cover the main duties of the post, it is not exhaustive. ATTRIBUTES Education and qualifications Experience ESSENTIAL DESIRABLE A good general standard of education. Experience of intermediate IT skills including databases and Microsoft Office packages, particularly Outlook. Experience of working in a varied administrative role. Experience of undertaking tasks that require initiative eg: responding appropriately to enquires in the absence of management and acting as required. Experience of using SharePoint. Skills and Abilities A resilient, calm, robust temperament with the ability to deal with distressing situations e.g. crisis domestic abuse, mental health difficulties. Ability to work independently without direct supervision. Ability to work effectively as a supportive team player as well as on one’s own initiative. Ability to maintain personal and professional boundaries. Understanding of safeguarding issues. Understanding of confidentiality issues.
