Havant and East Hants Mind (HEH Mind) is looking for a passionate and
organised Volunteer and Counselling Coordinator to support and grow our
volunteer community and oversee key operational aspects of our counselling
service.
This varied role will lead on volunteer recruitment, induction, supervision and
engagement, including student placements and work experience. You’ll work
closely with managers to ensure volunteers are well matched, supported and
embedded across our service

Key Responsibilities and duties
:
Volunteer Recruitment, Training & Supervision:
• Lead on the recruitment of volunteers across Havant and East Hants
Mind, ensuring robust and values
-based selection.
• Work with services to understand recruitment needs and ensure volunteer
role profiles are in place for all roles which are recruited to.
• Conduct volunteer interviews, assessments, onboarding and induction
processes.
• Ensure all volunteers receive appropriate training, including safeguarding
and role -specific requirements.
• Provide regular supervision and check
-ins with volunteers, addressing any
challenges or support needs.
• Develop and maintain clear volunteer pathways, including progression,
recognition, and retention plans.
• Maintain accurate, up -to -date volunteer records, compliance checks and
documentation.
Volunteer Management & Support:
• Work closely with Service Managers to identify volunteer needs and
opportunities across teams.
• Ensure volunteers feel supported, valued and integrated within service
teams.
• Address volunteer concerns or issues promptly, escalating where
necessary.
• Support Managers to deliver positive volunteer experiences and clear role
expectations.
• Contribute to improvements in volunteer policy, practice, documentation
and processes.
Counselling Service and co
- ordination:
• Promote the counselling service, responding to queries from clients,
referrers, counsellors and students.
• Support counsellors and student counsellors, ensuring strong
communication and operational clarity.
• Oversee counselling room allocation, ensuring safe, confidential and
appropriate spaces for in
-person sessions.
• Support and guide safe online counselling practice, ensuring adherence to
organisational and ethical standards.
• Assist in maintaining and problem
-solving the online booking system,
ensuring smooth client journey and workflow.
• Ensure safeguarding practices are followed, with timely escalation of
concerns and accurate documentation.
• Work with Counselling Lead to maintain records relating to counsellor and
student practice, supervision attendance, and required compliance checks.
Note – counsellors will receive clinical supervision, so this is

Stakeholder Engagement & Partnership Working
• Build positive working relationships across internal service teams to
ensure volunteer and counselling needs are met.
• Liaise with local colleges, universities, training providers and partner
organisations regarding placements and recruitment.
• Represent HEH Mind at recruitment fairs, community events and relevant
meetings.
• Work with the Communications & Marketing team to promote volunteer
roles and counselling service visibility.
Operational and Administrative Responsibilities
• Maintain volunteer and counselling databases, systems and
documentation.
• Provide internal reports, summaries and updates to support monitoring
and development.
• Coordinate communications with volunteers, counsellors, clients and
service managers.
