University and Career Guidance Counsellor Job Description

Department: Futures Department

Reports to: Head of Futures Department

Hours: 8:30am – 4:30pm including a 30-minute break, Monday to Friday inclusive

Place of Work: Upper School

Holidays: Term-time only

Position Overview:

The University and Career Guidance Counsellor is responsible for empowering students to develop and pursue academic, career, and university goals aligned with their individual strengths, values, and interests. Through focused guidance, workshops, and individualised support, the Counsellor will help students prepare effectively for higher education and career pathways. Success in this role is measured by student engagement, successful university admissions, and satisfaction among students, parents, and faculty.

Key Responsibilities:

Student Counselling and Support

Conduct one-on-one counselling sessions with students to discuss career interests, university goals, and academic pathways.

Provide support in developing comprehensive academic plans aligned with students’ university and career goals, including assisting with IB and IGCSE options selection.

University and Career Guidance Programme

Design and implement programmes to educate students on university admission processes, career exploration, and skill development.

Organise, design and deliver workshops, group sessions, and presentations on topics such as university applications.

Develop and maintain resources, such as guides, workbooks, and online materials, to support students’ career and university planning.

University Application and Admissions Support

Offer guidance on application requirements and timelines for various destinations (e.g., USA, UK, Canada, Europe).

Assist with exam preparation and planning (e.g. SAT, UKAT, IMAT) as part of students’ application strategy.

Review students’ academic records and provide recommendations on selecting subjects, extracurricular activities, and summer programmes that enhance their applications.

Assist students in creating and refining university application materials, including personal statements, essays, CVs, and supplemental documents.

Enrichment Activities and Events

Organise career enrichment activities and events for students, including university visits and career fairs, to provide real-world insights and connections.

Data Management and Reporting

Track and record students' progress, assessments, and achievements to support informed recommendations.

Maintain confidential student records and adhere to the school’s data protection policies.

Stakeholder Collaboration and Communication

Act as a liaison between students, parents, faculty, and external organizations to ensure a coordinated approach to career and university counselling.

Conduct regular meetings and workshops for parents to inform them about university admissions processes, academic options, and career planning resources.

Build and maintain relationships with university representatives and attend college fairs, webinars, and other events to stay updated on trends in higher education.

Professional Development

Engage in ongoing professional development to stay current with global trends in university admissions and career counselling.

Attend relevant workshops, conferences, and certification programs to enhance counselling skills and knowledge.

Person Specifications:

Essential

Bachelor’s degree or equivalent qualification.

Proven experience in university counselling and supporting students through international university applications.

Strong understanding of university admissions processes and requirements in key destinations, including the USA, UK, Canada, and Europe.

Experience guiding students in subject selection, personal statements, essays, and application preparation.

Excellent command of written and spoken English.

Outstanding interpersonal, communication, and relationship-building skills, with the ability to engage effectively with students, parents, and colleagues.

Strong organisational and administrative skills, with the ability to manage records, coordinate events, and prioritise effectively in a busy school environment.

Advanced writing and editing skills, particularly in supporting university applications.

Ability to deliver engaging presentations, workshops, and information sessions.

Empathy, discretion, and a student-centred approach, with a commitment to supporting students from diverse backgrounds.

High levels of integrity and commitment to maintaining confidentiality.

Desirable

Experience working in an international school setting.

Expertise in USA university applications.

Familiarity with career guidance practices and pathways.

Native or near-native English proficiency.

Membership of, or familiarity with, professional organisations such as NACAC, CIS, or IACAC
