Training Operations Lead 1 Purpose of the role The Training Operations Lead is a hands-on operational leadership role responsible for overseeing the effective delivery of Tavistock Relationships’ clinical practitioner training programmes. Working primarily across the MA/PGDip in Couple and Individual Psychodynamic Counselling and Psychotherapy, and the Advanced Standing Psychoanalytic Couples Psychotherapy programmes, the post holder will ensure the smooth operational delivery of training activities. The role works closely with Programme Leads and internal operational teams to support high-quality training delivery, ensure compliance with academic and professional standards, and maintain an excellent trainee experience. The role requires strong operational leadership, excellent communication skills, planning capability, and the ability to be adaptable and coordinate across multiple stakeholders to support the organisation’s training strategy and annual teaching cycle. Responsibilities Responsibility Task/deliverables Leadership and Line Management Recruitment and Open Events Programme Planning and Resource Management • Line management of the Psychodynamic Admin & Communications Lead, Training Operations Manager, and Academic Standards and Professional Partnerships Lead. • Provide operational oversight and cover during periods of staff absence within the training operations team. • Building strong relationships across operational teams to co-ordinate operational delivery and ensuring internal service level agreements are met. • Ensure admissions processes across all training programmes operate • effectively and support recruitment targets. Lead the coordination of cross-programme open events, ensuring events are effectively advertised, organised, and delivered. • Presenting at Open Events and answering operational questions related to the trainings. • Oversee the operational delivery of training programmes in line with • course requirements and teaching plans. Lead forward planning to ensure effective programme delivery across the annual teaching cycle, including: • • • Admissions and recruitment planning Coordinating curriculum reviews with teaching staff Resource and teaching capacity planning • Working with Programme Leads to ensure timely recruitment and scheduling of teaching staff for core training programmes. • Work with HR to ensure all new teaching and operational staff are appropriately contracted and inducted in line with onboarding processes. • Collaborate with the Training Manager to ensure appropriate planning and allocation of teaching spaces. • Provide operational guidance and respond to complex queries from staff and trainees. Training Operations Lead 2 Academic and Professional Partners Digital, processes and systems Communication • Work closely with the Academic Standards and Professional Partnerships Lead to ensure operational delivery aligns with professional body requirements (e.g. BACP, BPC) and academic partner expectations (e.g. Birkbeck). • Support compliance with relevant professional and academic standards. • Maintain oversight of content on Tavistock Relationships’ online trainee learning platform. • Ensure training teams upload accurate and timely content in line with teaching cycles. • Lead the development, standardisation, and continuous improvement of training administration processes and systems. • Provide regular training updates for all-staff meetings. • Develop and implement effective communication plans to ensure trainees are informed of course developments and updates. • Collect and analyse trainee feedback through mechanisms such as: • End-of-term evaluations • Programme Committee meetings • Course representative feedback • Use feedback insights to inform service improvements. • Work with the Director of Services to support the effective management of trainee complaints. Governance • Document operational processes to support knowledge management and continuity. • Develop and update departmental policies and procedures where required. Data Management Reporting • Produce accurate and timely management information to support leadership decision-making. • Prepare operational reports for leadership meetings and relevant Financial Management governance groups. Working with the Finance team to: • Ensure trainee fees are invoiced accurately and in a timely manner. • Ensure invoices to academic partners (e.g. Birkbeck) are accurate and submitted within agreed timelines. • Authorise staff invoices where appropriate. • Support the Director of Finance in the development and monitoring of course budgets.
