Who we are Our support KAB is a charity and service provider that has been working throughout Kent and the surrounding areas since 1920. Our aim is to improve the quality of life for sight impaired people of all ages and enable them to maximise their independence. We have around 110 staff working from four local bases, and around 500 volunteers across the region. The charity has a turnover of c. £2.5 million p.a., and is overseen by a Board of Trustees. Our locations Our Rehabilitation teams are split into four main contract areas: West Kent, East Kent, Medway and Bromley. Most of our work with clients is within the clients’ homes, and some clients visit our Sight Centres. There are three Sight Centres, with the addition of our Iris vehicle, which is a mobile Sight Centre. Maidstone Sight Centre is also our head office, with departments such as Finance, HR, Fundraising and our Guide Communicator service. This centre services the West Kent and Medway areas. Our other Sight Centres are in Bromley and Canterbury (East Kent). Each Centre has a resource room full of equipment and technology that a client can try. Additional services we provide Transcription services – transcribing documents into different formats including Braille, large print and audio. Training courses in Visual Impairment Awareness, Hearing Impairment Awareness, Deafblind Awareness and Assistive Technology. Normal hours of work are 9am to 5pm, Monday to Friday. Expectation to work occasion evenings and weekends. Based at: Maidstone Sight Centre, 72 College Road, Maidstone, Kent, ME15 6SJ. Element of hybrid working permissible. Salary: £23,022.77 per annum Pension scheme: Membership of the pension scheme is available. KAB will match contributions up to a maximum of 6% of salary. Wellbeing programme: Access to a 24 hour confidential support service. Holiday details: 21 days per annum, rising to 25 days maximum based on length of service in addition to bank holidays. Team Administrator Job Purpose To be responsible for administrative tasks relating to the work undertaken by the West Kent Rehabilitation team. To be the first point of contact and provide high quality support, information and advice to service users from Kent, ensuring that they receive an appropriate and professional response to their enquiry as quickly as possible. Job Description Main Tasks: Input client data to the KAB and Kent County Council (KCC) databases with a good standard of speed and accuracy, and within necessary timescales. To be responsible for reviewing data quality reports for the team and to correct errors s required. To report back to the team leader on repetitive errors, to assist with the identification of team training needs. To assist Senior Managers in the investigation of data anomalies and to feedback system issues. Be responsible for the typing of letters, memos, reports, agendas, minutes, advertising and promotional materials in appropriate house styles and other material as required. In addition to ensure that copies are produced, filed or distributed as appropriate. Provide verbal information, advice and guidance regarding eye conditions, eye health, KAB services, KCC services, registration and referral processes and equipment for all callers and visitors to the Sight Centre. Follow up with written or audio information if needed, or sign post to other sources of information. Provide emotional support and reassurance and appropriate. Issue replacement equipment after checking eligibility and suitability of the equipment to the user’s needs. Maintain thorough up to date knowledge of the services available to support sight impaired people and refer or signpost callers as appropriate. Carry out research where needed in response to non-routine enquiries. Collect, collate and maintain a range of statistical information using databases and spreadsheets, investigating and resolving data quality or recording issues as necessary. Be responsible for typing and distribution of letters, agendas, minutes and other materials as required. Act as one of the main points of contact for the centre, respond to enquiries (by email, post, phone and in person) and ensure matters are either dealt with promptly or passed to colleagues as appropriate. Process certificates of Visual Impairment and other referrals within the allotted time frame, recording and filing as appropriate. Identify possible safeguarding concerns, appropriately document these concerns and raise them with the Team Manager or another manager within the required timescales. Follow protocols in relation to safeguarding vulnerable adults and children supporting referrals as required. Organise, attend and administrate meetings, events and groups where appropriate, including booking rooms, arranging catering, preparing and circulating agendas and confidential minutes in a variety of formats (written, large print, audio etc). Take minutes as required. Set up and maintain filing systems, as required. Develop and maintain GDPR compliant systems for the secure storage, retention and retrieval of digital and paper-based materials including (but not limited to) scanning and shredding of paperwork for deceased clients. Assist with day to day running of the office, maintaining adequate stocks of stationery and equipment, placing orders as necessary, and be responsible for locking the Sight Centre on a regular basis. Manage petty cash. Receive, record and bank income in accordance with the KAB Finance Policy. Provide support to other colleagues at the Sight Centre, including preparation of resources and disseminating information. Keep records of team diaries, holiday rotas and meetings, passing relevant information to colleagues and other departments as required. To provide a clear handover to fellow team members, ensuring that where possible, tasks are completed prior to handover. To attend team meetings, one to ones, and training as required, occasionally travelling across KAB’s area of service. Person Specification Essential Criteria Be able to demonstrate: Experience in providing administrative support in a dynamic and demanding environment, including developing office systems to bring about process improvements. Ability to assess and prioritise within a framework of prescribed priority criteria. Ability to analyse and use professional judgement to assess risk and understand safeguarding indicators. Ability to adapt quickly to a new working environment, swiftly gain detailed knowledge of eye conditions, sight impairment and its impact. Excellent interpersonal skills, the ability to communicate effectively, and to listen and empathise while remaining objective. Ability to deal with, and show empathy to, a variety of audiences, some of whom may be distressed or exhibiting challenging behaviour. Excellent IT skills in a range of software including MS Outlook, Excel, Word, Explorer, PowerPoint, and the willingness to train in additional IT skills as and when required, particularly for in house systems. Experience of dealing effectively with members of the public in person, signposting or advice/support giving role. Experience of using a variety of databases and knowledge of effectively manipulating and interrogating the data produced. Excellent verbal and written communication skills, including good telephone and listening skills. Effective minute taking skills. Ability to use initiative and make effective decisions, within limits of responsibility. A commitment to using technology to bring about process and system improvements.
