This position will supervise and support the Summer Events Lead Attendant along with the part-time Events Attendant team, and will assist in the coordination and execution of all summer programmes and events at Pearson College.

The Summer Events Assistant will assist the Events Coordinator in event and programme planning, client communications, preparing equipment, providing dining hall meal service, billing, and all other hands-on service and administrative tasks. The Summer Events Assistant will work closely with a variety of college staff to provide support to the College’s Summer and Auxiliary Programming. As an integral part of the team, the Summer Events Assistant will provide logistical support to various programme, including but not limited to weddings, meetings, symposiums, school group trips, Pearson College reunions and other summer programming.

The incumbent will also provide information and resources to participants and work with the faculty and staff to fulfil the goals of the College during the summer period. Additionally, the Summer Events Assistant will work closely with the kitchen, housekeeping, seafront, advancement, and maintenance departments to arrange and provide additional support during summer programming.

Responsibilities

  • Supervise the events department and manage events in the absence of the Events Coordinator or on their days off.
  • Perform a wide variety of hands-on tasks, including but not limited to setting up function spaces, moving equipment around campus, dining hall server duties, assisting with client communications, and being available for after-hours client questions and emergencies.
  • Collaborate with the Events Coordinator to assist with the administrative planning and execution of Pearson Reunions, weddings, conferences, and other summer events
  • Work with clients to facilitate the on-site execution of their events, including banquets, meetings, accommodations, and extracurricular activities.
  • Provide logistical support for summer programmes and operations.
  • Willingness to live on campus during events and work a flexible schedule dependent on summer commitments and operational needs. Complimentary meals are provided when the dining hall is open.
  • Act as a guide and resource for information and logistics for summer programme participants.

Skills and preferred experience

  • Strong customer service and communication skills.
  • Proficient in Microsoft Office (Word and Excel).
  • Current First Aid, Serving It Right, and Food Safe certifications (training available for the right candidates).
  • Experience working with the public in educational settings.
  • Problem-solving skills and adaptability.
  • 1-2 years of event planning or food and beverage industry experience
  • Experience with audio-visual equipment.
  • Leadership and experience working with children are assets.
  • Flexible schedule to meet summer and operational needs.
  • Excellent communication and leadership skills.
  • Creative, quick-thinking, detail-oriented and energetic.
  • Enjoys working with diverse groups, especially children.
