Job Title: Student Services Administrator FOH
Reporting to: Senior Student Services Administrator

Management:
Key Purpose
• To be a positive and professional first point of contact for all customers, students, and
visitors to UKSA, delivering a warm, concierge-quality welcome.
• To ensure guests and students are roomed accurately and efficiently in line with booking
requirements and safeguarding policy.
• To provide highly efficient and proactive administrative services, ensuring smooth daily
operations for both staff and students.
• Representing UKSA’s brand values at all times.
Front of House & Concierge Responsibilities
• Deliver an exceptional, concierge-level welcome to all students, visitors and guests,
proactively offering support, information and assistance.
• Uphold all security procedures relating to opening and closing Reception, including cash
storage and key control.
• Respond to all student, visitor and staff enquiries in a timely, friendly and solution-focused
manner.
• Ensure all day-guests sign in and receive clear guidance on UKSA’s policies, including
wearing visible visitor ID and signing out.
• Manage arrivals through the site gates, providing a smooth and reassuring entry experience.
• Maintain a polished, professional reception environment, ensuring the lobby is clean, tidy,
and welcoming.
• Provide clear and thorough handovers at shift changeover, ensuring continuity of service.
• Work weekends and evenings on a rotational basis as required.
Rooming, Accommodation & Guest Management
• Room students and residential guests according to booking requirements, ensuring
accuracy and a positive first impression.
• Updating room bookings, ensuring all information is accurate and communicated across
departments.
• Liaise with Facilities and Housekeeping regarding defects, cleanliness standards, and room
turnaround requirements. Where required perform a room inspection.
• Ensure welcome packs for guests staying on site are available
• Generate course registers for all residential and leisure programmes.

Salto Access Control (Keycards & Security Integration)
• Create and issue SALTO keycards and lanyards for staff, students and visitors.
• Working with dept managers, ensure access permissions are correctly assigned and
updated in line with operational needs.
• Troubleshoot access issues and escalate to Facilities/IT where necessary.
• Maintain accurate records of access permissions to support safeguarding and site security.
Administrative Responsibilities
• Read, action and manage emails in a professional, organised and timely manner.
• When dealing with communications, maintain confidently, ensuring UKSA’s brand and
language standards are upheld.
• Fulfil departmental orders on behalf of UKSA departments.
• Sort incoming post and distribute to relevant locations; prepare and book outgoing post and
prepare daily collections.
• Support the Senior SSA with administrative tasks as required.
• Ensure staff and student car park logs are up to date.
• Assist with general organisation, database updates, and document management.
• Adhere to GDPR and safeguarding requirements regarding personal data handling, storage
and confidentiality.
Financial Processing
• Process payments and deposits for services, bookings and retail items, ensuring accurate
PDQ transactions are performed.
• Complete all finance-related paperwork correctly.
Health and Safety and Safeguarding:
• Work in a way that demonstrates a duty to take care of your own health and safety and that of
others who may be affected by your actions.
• Ensure the safe running of the boat (Farr 65’s) at sea in accordance with RYA and MCA
regulations, UKSA operating procedures and the law.
• Co-operate with employers and co-workers to help everyone meet their legal requirements.
• Ensuring operational safeguarding policies and practices are followed by all staff and that
safeguarding is always actively promoted throughout the organization.
Individual/Team Performance and Development (if not managing staff)
• Ensure adherence to all policies and procedures and promote the Vision, Purpose and Values of
UKSA.
