Job overview

We’re looking for someone who loves organisation, details, and smooth systems—not an engineer or developer. This role is perfect for someone who enjoys admin work, coordinating tasks, keeping projects moving, taking responsibility, showing initiative and learning new tools along the way.

You’ll help our team set up and look after our chatbots (don’t worry—we’ll train you!). Most of the work involves following clear processes, updating information, checking accuracy, and making sure everything runs smoothly behind the scenes.

You’ll work closely with our Social Direct team across content, localisation, and project leads—so strong communication, a steady workflow, and a friendly, easy-going personality will go a long way.

If you enjoy structured tasks, working with checklists, keeping things organised, and being the reliable “go-to” person for updates and coordination, this role is made for you. No deep tech skills needed, just confidence, curiosity, and a willingness to learn.

Specific Responsibilities

  • Follow structured, step-by-step processes to set up, update, and maintain chatbots across multiple platforms.
  • Conduct routine quality checks to ensure optimal performance, troubleshooting minor issues in line with established guidelines.
  • Test chatbot flows for accuracy, spelling, clarity, tone, consistency, and overall user experience across languages.
  • Partner with the localisation teams to coordinate and manage multi-language chatbot updates while maintaining quality standards.
  • Maintain accurate, organised records of versions, changes, checklists, reports, documentation, folders, and spreadsheets to ensure compliance with platform guidelines.
  • Track deadlines, monitor progress, and support planning efforts to ensure tasks remain on schedule.
  • Coordinate A/B testing activities, perform basic data checks and analysis using templates or dashboards, and present findings in clear, concise reports.
  • Prepare structured status updates, proactively flag risks or issues, and support smooth implementation processes.
  • Communicate clearly, calmly and professionally with cross-functional teams across countries and time zones.
  • Participate actively in agile team sprints and planning sessions within a collaborative environment.
  • Serve as a reliable point of contact for updates, documentation, and implementation follow-ups.
  • Collaborate within a global organisation across time zones, including occasional out-of-hours availability where required.

Skills, Experience and Education

  • A natural organiser, detail-oriented, methodical, and dependable.
  • Comfortable with admin tasks, documentation, and keeping systems tidy.
  • Good communicator who enjoys working with people from different backgrounds.
  • Quick learner who feels confident trying new tools (we’ll train you!).
  • Enjoys repetitive or structured tasks and finds satisfaction in accuracy and clarity.
  • Able to manage multiple priorities without stress, being steady, calm, and easy to work with.
  • Familiar with spreadsheets, checklists, dashboards, or basic project tracking tools.
  • Experience in admin, operations, project coordination, or content support is ideal.
  • No advanced technical background required, just curiosity and willingness to learn.
  • Qualification or at least 4 years experience in administration, operations, communications, or project coordination..
  • Experience supporting digital workflows or content processes is a bonus, not a requirement.
