Role Profile Role Title Site Manager - Part Time Reporting Relationships Reports To: School Management Team Location Ringwood Waldorf School Works with: Health and Safety Manager Role Purpose To ensure the site is well managed and suitable to safeguard and promote the wellbeing of the pupils. Ensuring effective management of grounds and facilities. Role Accountabilities Key Accountabilities Key Activities 1. Health and Safety ● Working with the Health and Safety Manager: 2. Maintenance and Repairs o Ensure compliance with health and safety regulations and implement appropriate measures to maintain a safe environment. o Conduct risk assessments and develop risk management plans to address potential hazards. o Provide guidance and training to staff on health and safety practices and emergency procedures. ● Regularly inspect premises to identify and rectify health and safety concerns. ● Maintain up-to-date knowledge of health and safety legislation and best practices. ● Oversee and perform routine maintenance tasks for the school premises, including buildings, facilities, and outdoor spaces. ● Coordinate and schedule repairs and maintenance activities to ensure timely resolution of issues. ● Conduct regular inspections to identify maintenance needs and address them promptly. ● Play a key management of the maintenance budget together with SMT and Bursar and ensure cost-effective solutions for repairs and replacements. ● Work with office staff and Health and Safety Manager to ensure accurate records are being kept of maintenance activities, including work orders, repairs, and contractor information. 3. Security and Access Control ● Establish and maintain security protocols and procedures to ● safeguard the premises. Implement appropriate access controls and monitor access to the premises. ● Coordinate with external security providers, if applicable, to ensure the safety of the premises. ● Conduct regular security assessments and make recommendations for improvements. ● Respond promptly to security incidents or breaches and initiate appropriate actions. 4. Facilities Management ● Working with Health and Safety Manager and office staff: ○ Management system for documentation to be created and maintained ○ Effective dissemination of pertinent information to relevant staff ○ Manage the day-to-day operations of facilities, including classrooms, offices, restrooms, and common areas. ○ Coordinate cleaning and maintenance services to ensure cleanliness and hygiene standards are met. ○ Oversee waste management practices and implement recycling initiatives. ○ Maintain an inventory of equipment and supplies, and coordinate procurement as necessary. ○ Monitor utility usage and implement energy-saving measures to reduce costs and promote sustainability. 5. Grounds and Outdoor Spaces ● Ensure the proper maintenance and upkeep of outdoor areas, 6. Compliance and Documentation including sports fields, playgrounds, and gardens. ● Develop and implement grounds maintenance plans, including landscaping, mowing, and gardening. ● Coordinate external contractors for specialised grounds maintenance tasks, such as tree maintenance or pest control. ● Monitor and manage irrigation systems and ensure proper drainage of outdoor areas. ● Arrange for necessary repairs or improvements to outdoor structures, such as fences or pathways. Working with the Health and Safety Manager and office staff: ● Ensure compliance with relevant regulations, legislation, and policies related to premises management including COSHH ● Maintain accurate documentation, including risk assessments, maintenance records, and safety certifications. ● Prepare reports on premises-related activities, including maintenance, repairs, and budgets. ● Collaborate with internal and external stakeholders to address compliance requirements. ● Stay updated on changes in regulations and implement necessary adjustments to maintain compliance. 7. Provide cover for the school ● Provide cover for the minibus service in the absence of the minibus service minibus driver. 8. Support the community life of the school ● Be available when the school is closed, to support events, where required, according to the school calendar. ● Perform any other ad hoc tasks or reasonable duties that we may require from the site manager. QUALIFICATIONS / SKILLS Knowledge/experience and Behavioural Competencies ● Previous comparable experience of Site Management is beneficial. ● Ability to work flexibly and extremely well organised. Knowledge and ability to carry out and oversee basic maintenance tasks throughout the school site. ● A significant part of this role involves oral and written communications. As well as effectively communicating instructions or requirements to all relevant staff members, the Site Manager must be comfortable with public speaking to different types of audience. ● Detailed written reports of investigations and inspections are also frequently required. Education and Qualifications ● Educated to either A-level or equivalent, degree level preferred. ● Health and Safety training to IOSH or NEBOSH standard. ● Fire Safety Training ● D1 or equivalent on driving license, or willing to do minibus training. Job Specific Technical Skills ● Accurately recording checks and inspections on Google drive document and spreadsheets applications and navigate Google Drive. ● Use of Google mail for email communication. Site Manager Job Description - 24 hours per week Summary: To ensure that the RWS physical site is safe and sufficient for the purpose intended and that the site boundary, the site and all objects on the site (whether fixed or moveable), meet both the legally required minimum standards and also a common sense standard for the safety of all students, staff and visitors. In addition the site should run smoothly for the purpose intended. Furthermore to ensure dissemination of all relevant information to stakeholders (staff, trustees, students, parents and others). Principal Legal Standards to be met will be from the following sources: DfE (Esp. Standards for School Premises 2012), Ofsted, The Independent Schools Standard, HSE, Dorset & Wiltshire Fire and Rescue Service, Dorset County Council. Main Areas of Responsibility: Boundary security. Ensure safe against intrusion and flight. Grounds. Utilities. Buildings. Fire equipment. Fixed equipment. Moveable equipment. Hazardous Materials. Fire Officer Duties (Further details contained in the school’s existing Fire Safety Emergency Plan) Ensure maintained for safe use. Slips, trips, holes, loose surfaces, gardening. Certify and secure, gas, electricity, water, clean and foul drainage. Ensure watertight and safe for use, structurally sound. Must be working correctly and certificated. Fire doors, extinguishers, alarm system, notices, access. Must be safe to use and certificated where appropriate. eg. toilets, seating, climbing frames, basketball hoops, gates, doors. Inventoried, safe and secured. Certificated where appropriate. eg. ladders, tools, teaching equipment, desks, chairs, projectors, heaters, sports equipment. Secured, inventoried and used correctly. Eg. cleaning fluids, fuel, bottled gas and science resources (delegated). To ensure that the SMT have an overview of fire safety at the school including reports on drills and alarms. To create, maintain or update documentation and procedures and oversee arrangements relating to fire safety and within the school. Carry out inspections of the entire school and reporting findings. Method of Working: 1. Assess the site against the regulations using Risk Assessments, an Auditing System and expert H&S support. (Remember the hidden factors especially gas, electricity, water and drainage). 2. List everything non compliant, unsafe or not fit for purpose and prioritise a task list. 3. Enlist the maintenance person to bring everything to standard. Liaise with the Compliance Officer, DSL and Administrator where appropriate to ensure effective use of resources and shared information. Use the ‘contractors on site’ system to bring in expert or extra help when needed. 4. Record all works and set review dates where appropriate. 5. Create a system of Planned Preventative Maintenance with a diary system to alert maintenance of work that is due, including certifications required. 6. Monitor the entire site and its contents and record all measurements, checks and works for inspection by the authorities if required, including certificates issued by external qualified certifiers. Maintain and enforce systems of work, such as safe recruitment of contractors, lone working, working at height etc.
