This role is for 8 hours per week, with flexibility around working patterns. Hours are usually worked during standard office hours (Monday to Friday), and a possible working pattern would be two weekday mornings for four hours each. There may be occasional evenings or weekends for meetings or events.

Fixed term of two years with possible renewal based on available funding for the post.

Rate of pay: £13.50 per hour

Holiday: 24 days holiday and 8 Bank holidays pro-rata. A working day is 8 hours and a working week is 40 hours.

Place of Work: St Gabriels Church Centre, 83a Marston Rd, B29 5LS with some flexible home work possible

Pension: The organisation will fulfil its obligations under the pensions auto enrolment legislation.

Hello! Thank you for taking the time to read about the Site Administrator post at St. Gabriel’ s Church in Weoley Castle. We are a small church with a Parish Priest supporting ministry in our parish and developing our site. In this document you will find information about the area, the parish, the church and the role.

Background and site information

St. Gabriel’s is a Church of England Parish Church located in Weoley Castle which is an outer estate suburb of Birmingham, approximately five miles southwest of the city centre. Our Church building is no longer in use and the church community is working with the diocese towards a plan for a new building and revamp of our entire site. Currently the Church community is meeting in our Church Centre for our worship services, meetings and social events. The Centre is an approximately square building containing a main hall, approx. 14 m square and a fully functional kitchen and break-out/café space. Off the entrance lobby are male, female and accessible WCs. There are also ancillary rooms used for storage and one will be an office for use by the Parish Administrator. Half of the vicarage garden has been temporarily fenced off to provide some usable outdoor space for the centre as the church grounds are out of bounds. The centre is used frequently throughout the week for community events and group activities.

The Parish Priest role is full time and has responsibility for the support of the local oversight group of parishes. Average attendance at church services is 20-25 people including children.

The role of the Site Administrator is as follows:

St. Gabriel’s Church is a warm and welcoming community in the heart of Weoley Castle. We are looking for a friendly, proactive and well-organised Site Administrator to help support the day-to-day life of our church and church centre.  You’ll play a vital role in ensuring our church remains a place of hospitality, hope and connection — helping us live out our vision to share the love of God and the Good News of Jesus with the wider community.

1. Supporting Church Acts of Worship and Record Keeping

  • File records and reports with the County Records Office, the Local Council and Diocesan Office asrequired.
  • Create and manage a church family contact database in line with current GDPR.

2. Communication

  • Manage church email and enquiries.
  • Ensure that all communication material supports the vision of the church and embodies our Christian values.

3. Parish Office and Church Building

  • When needed, open/close/secure the Centre and church in liaison with Church Wardens, Parish Priest, PCC, regular hall hirers, and St. Gabriels’ Centre Charity.
  • Manage Church Centre Calendar
  • Be the point of contact for hall hirers
  • Operational oversight of the St. Gabriel’s Church Centre with support from the Church, the PCC.
  • Financial Administration for the building and the hiring of the hall.
  • Insurance Responsibility
  • Obtain quotes for works on the centre building as required, and book and manage tradespeople for those works.
  • Keep the Log Book and church inventory up-to-date in conjunction with the churchwardens and the Parish Priest. Store the inventory in the safe when needed.
  • Support paper work connected with the APCM and Reports to file with the Diocese.

5 . Support to Clergy, Readers, Churchwardens, Duty Wardens and PCC Members

  • Support the work of the clergy, churchwardens, PCC members, readers and congregation members in providing reasonable site administrative support as required and agreed by the Parish Priest if necessary.
  • Perform Parish Verifier role including undertake DBS checks as necessary and support with safer recruitment

6. Other duties

  • Ensure all required statutory and other licenses (performing rights, music copyright) are obtained and paid for.
  • To assist groups and individuals using the centre as required.

7. Personal Development and Commitment

  • Attend courses for personal and professional development.
  • Keep a weekly electronic timesheet to be checked by the line manager.

The Site Administrator, from time to time, will also carry out any reasonable duties at the request of the Parish Priest that are appropriate for the position of Site Administrator.

St. Gabriel’s will provide a small office space on site, church laptop and mobile phone to be used for this post. Time on site will be expected each week. The applicant may also work some time from home if desired.

Possible patterns for working hours will be discussed at interview to suit organisational and personal needs. Occasional hours on weekends and evenings may be needed.

Person Specification

Essential

  • Good interpersonal skills and the confidence to welcome visitors and deal in a friendly and sensitive way with enquiries.
  • Excellent administrative and organisation skills.
  • GCSE Maths and English or equivalent.
  • A good knowledge of Microsoft Word, Excel, Powerpoint and Outlook
  • Excellent accuracy/attention to detail
  • Flexibility to cope with changing demands, manage priorities, use personal initiative and operate with limited supervision.
  • Ability to take instruction from the Parish Priest and the PCC
  • The post holder is to be in sympathy with the Christian Ethos and Values of St. Gabriel's Church

Desirable

  • Knowledge and experience of church processes.
  • Quickbooks or a book keeping software.
  • GDPR training and knowledge of GDPR compliance. St. Gabriel’s will provide training on this that the applicant will be expected to undertake if they do not already have this.

The role is subject to a DBS check.
