Service Objectives
The Warwickshire Children & Family Centre services improve the outcomes and life chances for all children, young people and their families by offering effective preventative and early intervention services, with a focus on those who are hardest to reach and are experiencing the greatest challenges in life. The service includes the coordination and administration of the designated Children & Family Centres, associated outreach provision, and volunteer coordination. The service delivers a range of stay & play and learning opportunities and supports service and community development.
Roles and responsibilities specific to this post
The role of the Service Administrator is to ensure administrative support within the North Warwickshire locality is provided in an efficient and effective manner.
The post holder will mainly be based at the Atherstone Children and Family Centre. The role may also require the post holder to work flexibly across the North Warwickshire to attend meetings, or on occasion to provide administrative cover at other local Children and Family Centres. For these reasons access to your own transport may be desirable, but not essential.
The regular work pattern for this part-time post is over 3-5 days between the hours of 8.30am-5pm, Mon - Fri. The flexibility to occasionally work additional hours to provide cover for annual leave, sickness, or occasional Saturday opening would also be desirable.
We are looking to appoint an experienced Service Administrator. This is a busy and varied role where you will be required to work autonomously at times and as part of a team to deliver a range of services.
Can you:
- Provide and/or supervise the provision of an effective, service user friendly reception service and related office management systems
- Ensure that systems are in place and working effectively to maintain appropriate standards of cleanliness and food hygiene within the premises used by the service.
- Undertake tasks delegated from the appropriate manager to ensure the premises used by the service are secure and that systems to maintain security and safety are operating effectively. (This may involve key holder responsibilities.)
- Undertake or supervise health and safety and fire safety responsibilities, as delegated by the appropriate manager.
- Prepare financial information, deal with income and expenditure.
- Undertake/supervise the administration of service user referrals and maintain associated records.
- Produce management information, including HR, Financial and Service User.
- Oversee staff management including recruitment, induction and supervision.
Job specific requirements: It is especially important that the successful candidate is able to demonstrate experience of and/or an understanding of the following:
Education/Knowledge
- Well-developed numeracy and literacy skills at a level which will enable post holder to perform moderately difficult calculations and produce reports.
Experience
- Proven substantial office experience.
- Proven substantial experience of using IT packages including word processing, spread sheets, databases, Windows applications.
- Experience of operating financial systems including petty cash, budget monitoring and control.
- Experience of premises/facilities management.
- Experience of dealing with members of the public and other agencies.
You will need a friendly and welcoming disposition with good communication skills, the ability to work to deadlines, provide attention to detail, and multi-task. You will work as part of a committed, professional and friendly team to support improved outcomes for children and families.
