Safeguarding and HR Admin Support • Part Time role: working 24 hours per week. • Hybrid role • May require occasional flexibility in working hours. • Fixed term contract for 12 months. • Reports to: HR Adviser Job Purpose This is a new role for Bath Abbey. You will be working on a part-time basis to support our HR Adviser by carrying out Disclosure & Barring Service (DBS) clearances, the completion of safer recruitment paperwork and the monitoring of the completion of online safeguarding training to meet the national safeguarding guidelines for the Abbey. You will be the main point of contact for safeguarding procedures, and you will ensure that compliance is meticulously maintained. You will be positively interacting with a range of paid staff, volunteers, and wider organisational members to ensure a smooth onboarding and compliance checking process. You will be responsible for all administration, data inputting, scanning and archiving of records relating to any documents that are needed for verification, as well as storing them securely with integrity. Part of this role includes monitoring using Excel spreadsheets, liaising with an organisation called Thirty: One Eight, who complete DBS checks for the Abbey, and using a volunteer management system called Better Impact. What you'll need to succeed Whilst a knowledge of safeguarding, safer recruitment and experience managing DBS clearances is preferred, this role requires a strong, diligent administrator with a strong sense of integrity. You will be used to working across systems which range in complexity, and not be above standard office duties such as scanning, data inputting, archiving records when required. You will have excellent attention to detail to spot anomalies or missing documents ahead of submitting the checks for processing with external agencies. You will be a true team player that is used to supporting where needed as occasionally you will need to provide HR administration support. Responsibilities include: • Processing all DBS clearances for the Abbey including renewals • Organising all safeguarding training courses via our online portal and including refresher training courses to complete. • Following up with both staff and volunteers on completion in a timely manner. • Liaise with different teams communicating updates when required. • Maintenance of spreadsheets and record keeping including keeping the Bath Abbey Parish Safeguarding Dashboard up to date. • Updating employee records including safeguarding notices in the Abbey • Notify line managers / supervisors when safer recruitment has been completed • Respond to basic queries relating to safeguarding / safer recruitment procedures • Safer Recruitment records aligned with current staff and volunteers are to be up to date and accurate. • Creating reports when required • Liaising with external and internal teams, including the Diocese safeguarding team for advice and support on safeguarding when required. • Help to promote awareness, safer culture and the welfare of children, young people and vulnerable adults • Complete reports which summarise safeguarding and safer recruitment progress • Assist colleagues in the safeguarding aspects of Risk Assessments • Occasionally assisting the HR Adviser with investigation an allegation • Occasionally assisting the HR Adviser with general HR procedures. Additional duties include collating statistical data and providing some support with HR administration tasks all while respecting confidentiality and adhering to data protection laws. Special Factors and Working Conditions The role requires flexibility, there may be occasions which require working outside normal hours at times attending training, meetings and ensuring safeguarding compliance. The post involves handling sensitive police database information, necessitating DBS checks and the Abbey’s safer recruitment procedure. It also requires compliance with quality and records management policies. Person Specification Candidates should possess the following: - • Strong IT skills (Microsoft Word, Excel, PowerPoint, databases) • Excellent organisational and communication skills • Experience producing reports and managing records. • Ability to work independently and as part of a team. • Confident, initiative-taking, and flexible with a “can-do” attitude • Experience in administration • Database management • Using software and portals. • Knowledge of safeguarding compliance, confidentiality • Ensure confidentiality in line with Data Protection regulations. • Provide HR administration support and assist when required.
