Referrals Coordinator – Job Description The One Can Trust food bank works closely with community partners to provide vulnerable families and individuals across South Bucks with essential weekly food parcels. The charity also runs a clothes bank, toddler groups and a community café. It is comprised of a small team of 11 staff who work closely with over 400 volunteers to support, currently, 460 people per week with vital services. The food bank Referrals Coordinator plays an essential, pivotal role in the administration and coordination of the food bank client referral system. Aim of Role To be responsible for the processing of food parcel referrals Reporting to Operations Manager Time Commitment 20 hours per week (4 hours per day) Monday to Friday, 09:00 – 13.00. Location One Can Trust, 11b Duke Street, High Wycombe, Bucks, HP13 6EE Main Tasks ❖ Process client referrals received from approximately 85 partner organisations through the food bank’s referral system (principally using Microsoft Excel). ❖ Ensure all referral information is complete, accurate, and recorded correctly within the database. Any gaps or inaccuracies in client data to be identified and updated. ❖ Ensure all data is managed in accordance with data protection and confidentiality requirements. ❖ Ensure data is ‘clean’ for the purpose of analysis and subsequent operational planning. Where necessary, assist the Operations Manager with the production of reports regarding food bank usage. ❖ Ensure that all client referrals are accurately processed in a timely fashion so that daily driver lists may be produced. ❖ Where necessary, liaise with the One Can Trust’s Community Support Team regarding long term referrals to discuss the provision of further support. ❖ Liaise with external referral partners, where necessary, to resolve queries regarding client information. ❖ Liaise with the external web designer to rectify any issues with the web- based client referral form and further develop the form, where necessary. ❖ Within reason, any other administrative and support duties, as required. Essential Skills / Experience ❖ Strong administrative and organisational skills. ❖ Exquisite attention to detail and ability to maintain accurate records. ❖ Experience working with databases, spreadsheets, or customer relationship management systems. ❖ Ability to manage and process large volumes of information accurately. ❖ Excellent demonstrable IT skills including Microsoft Office or similar systems. ❖ Ability to prioritise tasks and meet deadlines in a calm manner. 20 March 2026 Aim of Role To be responsible for the processing of food parcel referrals ❖ Experience handling confidential or sensitive information responsibly. ❖ A positive ‘can do’ attitude and willingness to help across the organisation where necessary (for example, due to unexpected absence, staff often ‘roll their sleeves up’ and assist with day-to-day tasks outside of their normal role to deliver the daily needs of the operation). ❖ Reliable and able to work independently with minimal supervision. ❖ Candidate must be personable and able to fit into a small and very busy office team. Candidate must also be polite, professional and able to form good working relationships with external partners. ❖ Commitment to community service – motivated by supporting people facing food insecurity.
