JOB DESCRIPTION
The Balsam Centre charity provides a Healthy Living Centre for the people of Wincanton and
South Somerset.
Its aim is to reduce health and social inequalities and improve the quality of life for people living
in its area of benefit.

Main Purpose of Job:
The Receptionist has a key role in ‘Front of House’ as the first point of contact for people coming
into the Centre. S/he will be based in Reception and will be responsible for the routine running of
Reception on a Friday.
Main Responsibilities and Duties:
• Answering telephone calls and emails and meeting, greeting and directing visitors/users
of the Centre
• Managing and update booking diary using Hallmaster software
• Take and record donations and payments using SumUp machine
• Sort and distribute incoming post and deliveries and dispatch outgoing post
• Register people onto Centre activities using Charitylog
• Ensure users’ room requirements are set up with furniture, equipment and refreshments
as necessary
• Ensure Reception area is tidy and posters and displays are in date
• Ensure cleanliness of staff kitchen throughout the day, loading and unloading dishwasher
as necessary
• Record daily fridge temperatures in upstairs and downstairs kitchens
• Carry out weekly fire alarm testing
• Act as Fire Warden and assist in 6 monthly fire evacuation
• Taking initial enquiries and forwarding as appropriate for Open Mental Health and
Wellbeing Workers
• Order stationery, cleaning and other supplies liaising with Lead Receptionist
• Handle and record small cash and cheque payments
• Maintain office equipment including photocopier and overseeing internet café computer
• Liaise with Caretakers to ensure the building is kept clean, tidy and well maintained and
cover for evening bookings
• Liaise with Centre Administrator, Finance Manager and other Reception staff to ensure
the smooth running of the wider Centre
• Any other duties that may reasonably be requested
• Ensuring that the values of The Balsam Centre are promoted at all times
• Functioning as a member of the team. Members of the team have collective responsibility
for the day to day running of The Balsam Centre
PERSON SPECIFICATION,
Knowledge, Skills and Experience:
The job requires the post holder to be physically active with the ability to set up, move
and dismantle chairs, tables and items of equipment e.g. projector, screen, flipchart.
Manual handling training will be provided.
