Reception & Administration Support

Fixed Term Contract: 12 month contract, with the possibility of being extended or
becoming permanent

Job Purpose: To be a first point of contact and to provide administration support
across the charity

Salary: £26,300 (pro-rata depending on hours)

Hours: 37.5 hours a week; 9am - 5pm Monday - Friday, with occasional weekend
work or evening meetings.

Start date: ASAP

Location: North Bristol & South Glos Foodbank Office, 286 Filton Avenue, Horfield,
Bristol, BS7 0BA and some attendance at other project locations, including our
warehouse.

Roles & Responsibilities

● Act as the first point of contact for enquiries (phone, email, in-person,
doorbell), ensuring appropriate follow-up and communication.

● Process incoming food donations and deliveries at the office.

● Provide regular and adhoc admin support to different areas of the charity,

which could include rotas, data entry, communications, volunteer support,
printing, scanning, and general administration as needed.

● Support wider organisational efforts during busy periods such as Harvest

and Christmas, flexing your role to meet emerging needs as directed by the
manager.

● Other duties as assigned.

Key Skills

●  Strong organisational skills- able to manage multiple tasks, prioritise
effectively, work well under pressure and keep systems in order

●

 Clear communicator- able to convey information effectively in writing
and verbally, in both a formal and informal manner as needed and able to
identify appropriate communication styles depending on the situation

IT confidence- comfortable using cloud-based tools such as Google
Workspace (Docs, Sheets, Drive) and basic CRM or text/email systems

●  Ability to work as part of a team and support other team members

●  Ability to work independently and unsupervised

●  Ability to understand and action management requirements

●  Discretion and professionalism- handles sensitive information with care

and maintains confidentiality

●  Problem-solving approach- proactive in identifying issues and finding

practical solutions

●  Awareness of the vulnerability of those living in poverty and experience of

how services can support their needs.
