The Qualifications Engagement Coordinator supports the delivery of structured, well-governed stakeholder and Subject Matter Expert (SME) engagement activity across the qualification lifecycle. The role ensures engagement activity is planned, coordinated, documented, and quality-assured, enabling stakeholder and SME input to be captured consistently and used effectively by qualification teams.
The post holder acts as a central coordination point between stakeholders, SMEs, and Qualifications team, ensuring engagement processes are followed, evidence is maintained, and activity is delivered to agreed timescales and standards.
Key Responsibilities
- Coordinate stakeholder and SME engagement activity in line with agreed engagement plans and frameworks.
- Schedule and support engagement activities, including meetings, workshops, surveys, and consultations.
- Act as the primary operational contact for stakeholders and SMEs involved in qualification activity.
- Ensure engagement activity is delivered to agreed timelines and quality expectations.
- Support the identification, onboarding, and coordination of Subject Matter Experts in line with defined criteria and processes.
- Maintain accurate records of SME involvement, including areas of expertise, engagement history, and declarations of interest.
- Ensure SMEs are provided with clear briefs, documentation, and expectations for their contribution.
- Escalate potential conflicts of interest or suitability concerns in line with governance processes.
- Capture, collate, and maintain records of stakeholder and SME feedback in agreed formats.
- Ensure engagement outputs are clearly documented, version-controlled, and stored in line with internal processes.
- Support the production of engagement summaries and evidence reports for Qualification Managers and Developers.
- Ensure audit trails are complete, accurate, and readily accessible.
- Liaise with Qualification Developers, Learning Resources, Assessment Design, and EQA colleagues to support engagement activity.
- Ensure relevant internal teams are informed of engagement schedules, outputs, and next steps.
- Support the smooth flow of information between stakeholders and qualification teams.
- Ensure engagement activity follows agreed stakeholder and SME engagement frameworks and templates.
- Identify and raise risks, gaps, or process issues relating to engagement activity.
Other Responsibilities
- Contribute to continuous improvement of engagement processes through feedback and lessons learned.
- Support the Lead in delivering wider engagement initiatives and projects.
- Contribute to team planning, reporting, and operational updates.

Essential Criteria
Qualifications and Experience
- Experience supporting or coordinating stakeholder engagement, consultation, or partnership activity.
- Experience working in an education, training, qualifications, or regulated environment.
- Experience managing multiple tasks, stakeholders, or activities simultaneously.
- Experience producing clear records, summaries, or reports.
Knowledge
- Understanding of stakeholder engagement principles and structured consultation processes.
- Awareness of regulated qualifications and the importance of evidence-based decision-making.
- Understanding of the role of SMEs in informing qualification development or review.
- Awareness of confidentiality, data protection, and conflict of interest considerations.
Skills and Competencies
- Strong organisational and coordination skills, with high attention to detail.
- Clear written and verbal communication skills.
- Ability to follow defined processes and ensure compliance with agreed standards.
- Ability to prioritise workload and meet deadlines in a fast-paced environment.
- Confidence to liaise professionally with external stakeholders and internal colleagues.
