Purchasing and Finance Assistant
Trinity College, founded in 1546 by Henry VIII, is one of the largest Colleges in the University of Cambridge, with some 720 undergraduates, 350 graduate students, 190 Fellows and around 360 non-academic staff. We are looking to recruit an organised and detail‑focused Purchasing & Finance Assistant who will be part of a large team of construction specialists that actively coordinate and deliver the maintenance, repair and conservation of the College buildings. The role holder will support our Procurement function with day‑to‑day purchasing, supplier onboarding, and invoice matching. This role suits someone experienced in purchasing or finance administration who enjoys problem‑solving and maintaining accurate data.
Key responsibilities will include:
- Accurately processing requisitions and raising Purchase Orders, maintaining supplier records and supporting onboarding checks such as VAT, banking and compliance.
- Performing 2‑ and 3‑way invoice matching; resolve discrepancies with departments and suppliers.
- Ensuring procurement compliance, documentation accuracy, and good audit trails.
- Responding to internal queries and guiding staff on raising compliant requisitions.
- Support reporting, data cleansing, and KPI updates.
- Provide administrative cover during busy periods or absence.
Candidates should have experience in a similar purchasing or finance administration role, be confident handling purchase orders, invoices, supplier and invoice queries as well as developing vendor relationships. You should have strong Excel skills (including pivot tables) accurate data entry and use of extraction tools such as Tabs, Oracle, NetSuite, SAP or Sage. Excellent communication skills are essential with a high attention to detail, and a collaborative approach.
The salary for the post is £31,983 pa plus excellent benefits which include (subject to eligibility) a generous defined contribution pension scheme, free meals in College, a subsidised gym and, after satisfactory completion of the probation period, a cycle to work scheme and private health care.
