Job title: Project and Involvement Manager

Study: NHS Deployment of Quantum-Enabled Brain Imaging

Responsible to: Research Partnerships Lead

Hours: Full time, 35 hours per week

Contract type: Fixed term contract until July 2028 (September/October 2026 start preferable)

Salary: £45-50K pa

Working patterns: Primarily within core business hours but with the flexibility to attend occasional events outside normal office hours as necessary.

Location: Hybrid working with expected travel to office based in London at least one day a week.

Working relationship: Line managed by the Research Partnerships Lead at the Epilepsy Research Institute. The postholder will work closely with a range of external collaborators and with other team members at the Epilepsy Research Institute.

BACKGROUND

The Epilepsy Research Institute serves as the central hub for the epilepsy research community. Our mission is to radically advance research into the causes, prevention and treatment of epilepsy and associated conditions. The Institute aims to strengthen the epilepsy research ecosystem by driving strategic investment and developing partnerships and collaborations between academia, the NHS, industry, funders, patient groups and people affected by epilepsy. Central to everything we do is a culture of advocating and actioning research priorities.

JOB PURPOSE

The Project and Involvement Manager will provide strong project management and patient and public involvement expertise as part of a newly awarded interdisciplinary fixed term research project that seeks to implement the world’s first clinical Optically Pumped Magnetometer - Magnetoencephalography (OPM-MEG) system for epilepsy into routine NHS clinical practice.

This multi-institutional collaborative project is divided into nine workstreams that, together, aim to enable routine NHS adoption of OPM-MEG for epilepsy across two centres in the UK. Collaborators across these workstreams will work in tandem to further the clinical OPM-MEG system development, support the installation of two systems within NHS sites and generate the clinical and economic evidence required for the routine use of OPM-MEG within the NHS.

Collaborating with research teams and technological innovators, the postholder will lead on several engagement activities with diverse stakeholder groups, including people affected by epilepsy, clinicians, and policymakers. They will support the ongoing co-creation of the OPM-MEG system and ensure that relevant protocols, study documentation, and research materials developed as part of the project are co-produced with people affected by epilepsy.

In addition, the Project and Involvement Manager will support the OPM-MEG team installing the system across NHS sites and help with the coordination of studies that will generate the clinical evidence required for a health technology assessment. Reporting to the Research Partnerships Lead, the postholder will act as the primary point of contact for a range of collaborators and external stakeholders to deliver on the objectives set out within the duration of the project.

KEY RESPONSIBILITIES

  1. Lead on the planning, coordination and delivery of engagement activities to support the continued co-creation of the OPM-MEG system and the co-development of protocols, study documentation, and research materials for the clinical research studies.

  2. Organise, attend and facilitate in-person and online engagement activities with a variety of stakeholders, including clinicians, policymakers and people affected by epilepsy.

  3. Manage the open competition for UK NHS sites who are interested in receiving an OPM-MEG system and support with the preparation of all relevant documentation required for the onboarding and running of successful sites, including organising and hosting site induction meetings.

  4. Organise and attend project meetings as required, building and maintaining effective working relationships with both UK based and international collaborators to ensure smooth and effective delivery of project objectives.

  5. Work collaboratively with research teams to coordinate the clinical studies including the preparation and submission of ethics applications, development of study protocols, and recruitment of people affected by epilepsy.

  6. Take responsibility for organising and managing meetings with diverse groups, including agenda planning, meeting material development, minute taking and other relevant duties when required.

  7. Lead on producing reports that summarise and document the outcomes of engagement activities with key stakeholders.

  8. Lead on the production of academic outputs, reports, and the dissemination of findings relevant to the adoption of OPM-MEG in the NHS.

  9. Attend project team monthly meetings and provide weekly reports to the Research Partnerships Lead to update on project progress.

  10. Work closely with members of the research team, including the Research Partnerships Lead and Director of Research and Impact, to deliver project outputs.

  11. Keep track of all expenditure relevant to the project workstreams, process expenses and invoices and ensure that relevant stakeholders are paid for their involvement, working closely with the Director of Finance and IT.

  12. To work closely with the Health Economist working on the project, supporting them in their work, including providing material for inclusion in their final Health Economics end of project report, as required.

  13. Work closely with members of the external affairs team at the Institute to share engagement opportunities and disseminate news and content through communications channels.

  14. Willingness to travel to sites across the UK when facilitating focus groups or attending project meetings.

  15. Undertake any other duties as reasonably requested as part of your role.
