Role Overview
Music Masters is recruiting a Programmes Coordinator to support the day-to-day functions of a busy and
proactive Programmes Team. This person will take an active role in the administration of our regular music
activities in our Flagship Schools in central London, supporting the coordination of timetables, lessons,
resources, exams and events. As well as this, the role will support the delivery of our dynamic teacher
training programmes on a national scale. This includes new and developing areas of work at an exciting
time for one of the UK’s most enterprising music education organisations. For the right candidate, this role
brings with it the opportunity to progress as our range of products and offers grow in future years.

A balance of remote working and working in Music Masters’ office (10-11 Bishops
Terrace SE11 4UE). Employees are encouraged to base themselves in / around the
office as much as the role requires, with a minimum of once per week (currently
Wednesdays) - the communal office day for all team members.
Full time (35 hours) not including 1 hour unpaid lunch break. An 8am start is
necessary during term time hours.

About Music Masters

Music Masters’ driving aim is to address at their root the most significant issues that could prevent a child
from achieving to their greatest creative potential. We work tirelessly to improve equitable access to music
education, quality and inclusivity in music teaching and learning, and pathways of opportunity in and through
music to career level. Key to this is showcasing excellence in inclusive music teaching through our five partner
‘Flagship Schools’ in London in which we teach 1,000 children with highly diverse backgrounds and needs,
each for up to seven years. The ever-changing environment in which we work informs and inspires our drive
to address systemic barriers to music education and progression on a national scale. We do this through
working intensively with schools, teachers and organisations – and with the next generation of musicians,
teachers and advocates, including our own graduate pupils.

The  first  two  years  of  our  2022-26  strategy  have  seen  us  develop,  test  and  evaluate  a  number  of
programmes designed to increase our national reach and impact. Alongside this, we have reviewed our
longstanding  programmes  through  commissioning  unbiased  external  review,  creating  new  theories  of
change  and  developing  a  refreshed  evaluation  approach,  leading  to  real  improvement  and  further
innovation. A key aim of this period has been to gain clear understanding of the difference Music Masters
is making – in particular through the charity’s unique strengths and expertise. The next two years sees us
refine our most impactful activity to further extend its value for our beneficiaries, and to develop  work
that has the potential to scale our reach and impact exponentially. By the end of this strategic period we
aim to have developed a data-informed, sustainable plan for growth and scale that provides a roadmap
for our future.

We work with a team of 30 highly trained freelance and employed music teachers who deliver in our
Flagship Schools, lead and support on events, and lecture and mentor on our PGCEi. Beyond this, we
work with a range of sector-renowned and inspiring mentors, lecturers, practitioners and partner
organisations to deliver our training programmes.

Fundamental to our work is our Board of Trustees – a group of exceptional volunteers who keep the
values of Music Masters ‘in trust’ for future generations and support the executive team to deliver an
outstanding programme of work for the greater good of society. We also work with a range of
ambassadors, including Artist Ambassadors, Graduate Ambassadors (former students), and Family
Ambassadors from our Flagship Schools. Each brings diverse lived experience and a unique perspective
that helps distinguish and enrich our work.

About the Role

Working as part of a busy team, the Programmes Coordinator will have a central role in the smooth
and successful delivery of Music Masters’ Schools and Educator Development Programmes. The
postholder ensures effective day-to-day coordination and administration across multiple areas that
impact our five Flagship Schools in central London and our full range of national training programmes.
By facilitating clear communication, strong organisation, and seamless logistics, this role plays a vital
part in ensuring Music Masters’ programmes run effectively, helping to create meaningful musical and
educational experiences for children, teachers, and communities. Below provides an idea of the main
areas undertaken by the post-holder.

Schools Programme

Programme Coordination & Administration

•

Support the Schools Programmes Manager in day-to-day operations, including troubleshooting
scheduling and room issues, managing absences, and maintaining accurate student, family,
teacher, and musician records in the database.

•  Work closely with the Schools Programmes Manager and Staff Teacher/Lead in each school to log

and reschedule lessons impacted by absences, school trips or school clashes.

•  Manage the Programmes inbox, handling queries from parents, teachers, schools, and other

stakeholders, ensuring timely responses and proper record-keeping. Forward queries efficiently to
relevant team members as needed.

•  Coordinate the creation and mailing of the Size Up, a fortnightly newsletter to the teaching

communities in our Flagship Schools.

Finance & Resource Management

•  Administer the resources budget overseen by the Schools Programmes Manager and/or budget
holder, ensuring spending aligns with budget guidelines and maintaining an effective request
system.

•  Manage instrument and resource distribution and records, working closely with the Finance
Director to ensure accurate asset tracking, including repairs, damages, replacements, and
instrument purchases by families.

•  Process teacher payments and invoices, collaborating with the Finance Team, addressing related

queries, and supporting teacher contract and recruitment administration.

•  Process family payments, including issuing invoices, handling bursary applications, and responding

to enquiries, working alongside the Finance Director for accurate financial tracking.

Assessment & Progression

•  Coordinate examinations and assessments for Year 6 and other relevant students with the

Enrichment & Progression Manager, liaising with teachers, schools, parents, accompanists, and
examination bodies.

•  Work with the Enrichment & Progression Manager to oversee the student report

process, ensuring correct formatting and timely delivery.

•

Support the Schools Development Manager in coordinating teacher assessments of students,
ensuring completion and compiling data for management analysis.

•  Coordinate Year 2-3 and Year 6-7 transitions processes alongside the Enrichment & Progression

Manager, overseeing nominations collection, place acceptance comms, waiting lists, and graduate
submissions to the Champions programme.

Events & Projects

•

Support planning and execution of key events, including Winter & Summer concerts and M-Fest,
collaborating with the Staff Teachers and Wider Programmes Team on logistics, communications,
setup, stage management, and resource coordination.

Educator Development Programmes

Programme Coordination & Administration

•  Manage the Musicians of Change PGCEi inbox, handling queries from students and other

stakeholders, such as our delivery partner Birmingham City University ensuring timely responses
and proper record-keeping. Forward queries efficiently to relevant team members as needed.

•  Create and maintain clear schedules for relevant training programmes in collaboration with the

Head of Teacher Training Programmes and Mentoring and Training Manager. This includes planning
dates/times for weekend workshops, evening twilights, board of studies meetings, assignment
deadlines, and other key activities.

•  Coordinate logistics for internal and external meetings related to Musicians of Change and other

training programmes, including scheduling, diarising, minute-taking, and ensuring all stakeholders
are informed and clear of actions moving forward.

•  Coordinate logistics for events, lectures, workshops, and training sessions, including booking

venues, rooms, and catering, and keeping all relevant staff updated for training programmes and
Musicians of Change where needed.

•

Support recruitment, enrolment, induction and graduation/transition of students, musicians,
mentors, and other professionals, working with the Head of Teacher Training Programmes and
Mentoring and Training Manager to maintain accurate records and student profiles, process
necessary checks, create and update access riders, and ensure smooth transitions into and out of
the programme.

•  Coordinate external observations of Musicians of Change students in Flagship Schools, working

with the Schools Programmes Manager to schedule visits, inform senior leaders and teachers, and
ensure visitors follow school and Music Masters guidelines.

•  Coordinate the creation and mailing of regular updates to students, graduates and participants.

Assessment & Evaluation

•  Administrate assignments, marking, and moderation, ensuring students are resourced and

informed effectively and deadlines are met, consolidating scores and assessments on student
records, and providing data to the Music Masters team as needed.

•

Support evaluation processes by managing the distribution and collection of
evaluation forms (online or in person), transcribing and compiling data, and
assisting the Head of Teacher Training Programmes with analysis.

Systems & Administration

•  Maintain the Virtual Learning Environment (VLE) for students, lecturers, and stakeholders by
uploading and organising materials, troubleshooting technical issues, and liaising with IT and
technical support teams.

•  Manage financial administration for Musicians of Change and other training programmes, including
contracting external freelancers, processing invoices, managing course fees, recording expenses,
and working closely with the Finance Director to keep track of costs effectively.

General Responsibilities

•  Manage the General Contact inbox, handling queries from parents, students and other

stakeholders, ensuring timely responses and proper record-keeping. Forward queries efficiently to
relevant team members as needed.

Supporting our processes of impact evaluation, including supporting the planning and delivery of
evaluation workshops with students/families/teachers, disseminating and logging responses to
surveys, and encouraging and chasing responses to any other regular evaluation procedures.

Supporting the delivery and coordination of events, projects or activities that engage our Artist
Ambassadors, Family Ambassadors, or Graduate Ambassadors.

Supporting and attending regular team
activities such as full or partial team
meetings, in-school team meeting with staff
teachers or SLT, and termly meetings with
our wider teaching team.

Supporting and attending activities for
Musicians of Change or other training
programmes beyond regular working hours
as and when necessary or appropriate,
including some evenings and weekends
when organised in advance.
