BIFA is seeking a Production and Archive Assistant with research, organisational and editing.

This role supports two distinct areas of BIFA’s work: podcast and video content across BIFA’s year-round activity, and the ongoing organisation and maintenance of the organisation’s content archive.

The successful candidate will play a key role in maintaining and improving BIFA’s extensive content archive: sorting, tagging and cataloguing video and photography, building and maintaining databases, auditing existing materials, and ensuring all content is accurate, consistent and easy to retrieve. This includes working across drives and existing systems to bring structure and clarity to a large volume of material. Alongside this, you will assist the marketing team with editing and preparing podcast and video content, building and maintaining timelines, producing short-form cutdowns to a brief and supporting the delivery of assets across platforms. You will also support the production of awards ceremony content, including gathering and managing clips for reels and packages, coordinating with external partners and assisting with delivery.

This is a unique opportunity for an organised, detail-oriented candidate with an interest in film and content production. The role would suit someone methodical and reliable, who is comfortable working within established processes and contributing as part of a small, collaborative team.

Role Outline:

  • Archive, sort, upload, and tag video content and photography to ensure easy retrieval and organisation.
  • Viewing footage from previous ceremonies and events
  • Clipping and cataloguing individual clips, along with implementing a tagging system based on talent and themes
  • Working with hard drives, Gdrive and editing software
  • Assisting with cataloguing and organising footage at the 2026 Awards ceremony in December
  • Conduct research and write briefs to support podcast and other video content.
  • Assist with day-to-day AV production, including logistical tasks and studio support.
  • Create and manage production schedules for year-round AV content.
  • Support the creation of awards ceremony AV content, including gathering and managing clips for reels and packages, liaising with production partners Intermission and Molinare, providing content briefs for Molinare and overseeing the delivery of content
  • Maintain and update the AV production workflows and documentation in Notion.
  • Edit and produce short-form cutdowns from full recordings.
  • Render, archive, and organise footage as MP4 files.
  • Support producers in managing sponsor communications and video-related partnerships.
  • Build and update Premiere Pro timelines as podcast seasons progress.
  • Make Instagram thumbnails for podcast clips
  • Ad hoc support for AV and social team to produce video and static assets

Skills and Experience:

RESEARCH & ARCHIVE

  • Ability to conduct research and write concise, engaging briefs for podcast episodes, ensuring content is accurate, relevant, and aligned with brand tone.
  • Ability to render, organise, and archive video/audio files (MP4 formats), with attention to metadata, tagging, and retrieval systems.
  • Ability to maintain structured archive systems, including uploading, categorising, and tagging large volumes of media content efficiently.
  • Preferable: experience working with digital archives and/or digitisation
  • Preferable: experience of implementing efficient systems and processes to organise large amounts of information/resources
  • Meticulous attention to detail

ADMINISTRATION & PRODUCTION LOGISTICS

  • Ability to create and maintain production schedules, coordinate timelines, and ensure deadlines are met across multiple stages of production.
  • Proficiency in maintaining and updating production workflows using Notion, ensuring clear documentation and team alignment.
  • High level of accuracy in file handling, scheduling, and content updates, ensuring consistency across production and archive systems.
  • Ideally, experience assisting in podcast or video production environments, including logistical support (e.g., sourcing materials, managing studio needs) and ensuring smooth day-to-day operations.

EDITING & PHOTOSHOP

  • Ability to edit short-form video cutdowns from long-form podcast content, with a strong sense of pacing, storytelling, and audience engagement.
  • Working knowledge of building and managing timelines, assisting with edits, and supporting post-production workflows in Premiere Pro.
  • Basic experience working with video editing software
  • Basic Photoshop ability for creation of instagram thumbnails for short video cutdowns

COMMUNICATIONS

  • Ability to support communication with sponsors and external partners, maintaining professional relationships and ensuring deliverables are met.
  • Interpersonal skills, working closely with producers and creative teams to support all stages of podcast and video production.

ADDITIONAL

  • A passion for film and cultural preservation
  • Good writing, numeracy and IT skills, particularly Excel/Google Sheets
  • Self-motivated and comfortable working independently
