Procurement Assistant

This role is based in our Warsaw office.
The post holder will work under the supervision of the Global Procurement and Standardisation Manager (based in London), and Operations Manager based in Warsaw Office.

ClientEarth has a Flexible working policy, however this post is expected to work from the office at least 3 days per week.The post holder will work under the supervision of the Global Procurement and Standardisation Manager (based in London), and Operations Manager based in Warsaw Office.
Key Responsibilities
- Process purchase requests, ensuring all submissions comply with Environmental, Procurement and Due Diligence policies and are completed in a timely manner.
- Under guidance from the Procurement Manager, liaise with suppliers to obtain quotations, clarify order details, and resolve routine procurement issues, escalating non-routine matters appropriately.
- Administer the purchase to payment cycle by processing invoices, matching them to purchase orders, and supporting the Finance team with resolving discrepancies to‑payment cycles by processing invoices.
- Make business travel bookings for staff and partners in line with internal Environmental, Travel, Procurement and Security policies.

Skills, Knowledge & Expertise
- Minimum secondary/high school level education
- Experience in a customer service/administrative role
- Experience in processing payments and invoices
- Strong understanding of routine office systems, equipment, and administrative processes
- Fluent (CEFR level C2) in Polish and English (essential)
- Knowledge of Microsoft dynamics and Power Apps
