POST: PREMISES OFFICER
RESPONSIBLE TO: Centre Manager
JOB SUMMARY: As part of the premises team, the Premises Officer will support the effective and efficient operation of the Mission building. This role involves setting up rooms and ensuring the building is safe, secure, clean, and welcoming for all users, while providing a visible, reliable, and reassuring presence. The post holder will also contribute to the ongoing development and upkeep of the building and facilities.
MAIN DUTIES & TASKS:
1. GENERAL
• As part of the Premises team ensure smooth operation of the Mission building.
• Be a welcoming, reliable and reassuring presence for all users of the Mission.
• As part of the Premises team implement appropriate customer-focused standards and procedures, ensuring that users and hirers adhere to conditions of hire and the acceptable behaviour rules.
• To provide holiday cover for which additional pay or time of in lieu will be given.
2. PREMISES AND FACILITIES
• Work with premises team to maintain and improve the fabric of the building.
• Give priority to the security of the Mission building, its staff, volunteers and users, including opening and closing the building in line with procedures and being a point of contact in emergencies.
• As part of the premises team ensure that the needs of building users are met in a timely, friendly and professional manner.
• Monitor contractors working on site to ensure work is completed safely and to an appropriate standard.
• Cleaning and service rooms, including the provision of appropriate layouts, catering support and multi-media provision.
• Look after the outward appearance of the building, including cleaning, removal of rubbish and checking signage.
• Carry out small-scale maintenance (e.g. basic plumbing, DIY, decorating) as agreed with the Senior Premise Officer to a professional standard.
• Update and maintain stock records of cleaning materials, equipment, and tools, including monitoring levels and placing orders as appropriate
• Provide a reception service if necessary, directing people to rooms and handling phone calls.
• Deal effectively with emergencies, including evacuation procedures, fire marshalling and dealing with unusual occurrences.
• Monitor the use of the car-park.
• Have sole responsibility for the building on a Saturdays and evenings as required.
3. HEALTH AND SAFETY
• Ensure that the high standards of health and safety are maintained and are of paramount importance, including regular checking and servicing of equipment, maintenance of records, and control of hazardous substances.
• Work to safe practices as outlined by Risk Assessments and contribute to new & revised risk assessment as appropriate.
• Ensure that all work is done safely.
• Work in line with all Mission policies and procedures, for example, Safeguarding.
• Maintain appropriate professional boundaries with all service users.
• Respond calmly and appropriately to challenging behaviour, seeking support where necessary.
• Promote a safe, respectful, and inclusive environment for all.
4. OTHER DUTIES
• Liaise closely with the Centre Manager and Senior Premises Officer, including attending regular briefings and supervision meetings.
• Provide occasional cover in the café as required, supporting routine operations such as serving customers, maintaining cleanliness, and working as part of the wider team to ensure a welcoming environment.
• Perform other such duties, consonant with the nature of this appointment, as may be reasonably required from time to time.
TERMS AND CONDITIONS:
• The working hours are on a 2-week rota, 27 hours over 2 weeks, as follows:
Week 1: Monday, Tuesday, Wednesday: 7:30am – 11:00/11.30am
Week 2: Wednesday, Thursday, Friday: 7:30am – 11.00am/11:30am, and Saturday: 8:00am – 2:00pm
Currently we have bookings on a Saturday for 40 weeks of the year. When we don’t open on a Saturday, you will required to work additional hours during the week.
• The post holder must be aware of and comply with Mission policies on Health and Safety, Safeguarding, and Diversity and Equal Opportunities.
• The post holder must complete a formal declaration to be a keyholder of the building.
• Paid annual leave: 25 days which will be pro rata. (Normally 3 or 5 days will need to be taken during the Christmas to New Year period), and 8 public holidays (pro rata).
• All reasonable expenses incurred in the course of Mission business will be paid.
• The appointment is subject to the satisfactory completion of a probationary period of three months.
• Applicants must be willing to undergo a basic DBS check before employment can commence.
