Job Description

You will support the Fire Risk Surveying and Fire Door Inspection team by carrying out appointment planning and coordination of inspections and where appropriate contractor attendance to support intrusive investigation works and making good of disturbed finishes and general administration activities to support service delivery of Fire Risk Assessments & Fire Door Inspections.About you

Role Profile  
•  Utilise I.T. systems to undertake appointment planning, allocating inspections to fire risk assessors and fire door inspectors, monitoring and updating records accurately.
•  Ensure appropriate approval is received for new order requests, where contractors are required for intrusive investigations or making good.   
•  Liaise with customers, clients and work colleagues, primarily by telephone, Teams and email, to ensure inspections are planned and carried out as required.
•  Create, maintain and store documents in accordance with the approved systems to ensure records can be located efficiently.  
•  Prepare routine correspondence, including reports, letters and email communication, in an accurate and professional manner.
•  Collate and check information, including The Riverside Group (TRG) reports, for completeness and accuracy, referring issues to the appropriate person in a timely manner.
•  Manage enquiries effectively, providing clear and accurate advice or signposting as appropriate, escalating complaints and complex queries via the agreed route.
•  Schedule inspections to operative diaries based on working postcode area and priority.
•  Provide secondary appointment for inspectors to return to complete any outstanding inspection whilst on-site with the customer.
•  Reassign or reschedule any appointments that were not attended due to operational or client reasons.
•  Regularly check inspectors diaries are fully optimised.
•  Update the scheduling system of any inspector on annual leave or sickness.
•  Ensure all inspections have been attended and updated at the end of the day.
•  Produce reporting in support of team management.
•  Respond flexibly to any necessary changes in work priorities and undertake other duties when required to support the effective operation of the service.
•  Contribute to the continuous improvement of processes and procedures.
•  Ensure that all data protection requirements are met in accordance with TRG’s policy, procedures and statutory requirements. 
•  Ensure that health and safety requirements are met in accordance with TRG’s policy, procedures and statutory requirements.Person specification Knowledge, Skills and Experience Essential

•  Proficient in the use of Microsoft Office 365 suite of software.Desirable 
•  Knowledge of and experience using Open Housing, Salesforce, or a similar Housing Management system.
•  Experience of working within social housing.
•  12 months experience of booking inspections or repairs using a scheduling system or Microsoft outlook diaries.
