Job Summary

St Edward’s Oxford is seeking an exceptional Personal Assistant to play a key role providing high-level administrative support to our Deputy Head Pastoral and Deputy Head Welfare.

This is a varied and influential role, supporting two busy Deputy Heads who have responsibility for areas including pastoral care, safeguarding, pupil welfare, boarding, healthcare, attendance and behaviour management.

You will manage complex diaries and competing priorities, coordinate meetings, events and training, and prepare high-quality reports, minutes and briefing papers. You will also manage incoming communications, ensure urgent and sensitive matters are handled swiftly, and act as a trusted first point of contact for parents, staff and external agencies.

Working closely with academic, pastoral, medical and boarding colleagues, you will help coordinate pastoral operations, maintain accurate records, monitor actions and deadlines, and develop efficient administrative systems and processes.

About you

We are looking for a highly organised and accomplished administrator who thrives in a fast-paced environment. You will bring excellent diary, inbox and meeting-management skills, strong written and verbal communication skills, confidence using Microsoft 365 and other information systems, and the ability to manage several priorities without losing sight of detail.

Experience of handling confidential information, producing accurate minutes and coordinating meetings or events is essential. Experience within education, safeguarding, pastoral care or a boarding environment would be particularly valuable.

Just as importantly, you will be someone people trust. Calm, discreet and emotionally intelligent, you will exercise sound judgement, anticipate what needs to happen next and respond positively when priorities change. You will combine warmth and approachability with professionalism, resilience and a strong sense of personal responsibility.
