PEOPLE TEAM ADMINISTRATOR JOB DESCRIPTION

Job Title: People Team Administrator

Responsible to: People Partner

The successful candidate can work at Sedbergh School, Terrington Hall School or Ardvreck School.

Main Purpose:

The People Team Administrator provides efficient and effective administrative support across the employee lifecycle, with a primary focus on recruitment administration, issuing and filing of employment contracts, and onboarding. The role ensures recruitment processes are delivered professionally, pre-employment checks and employment documentation is accurate and compliant, and employee records are maintained to a high standard while providing excellent customer service to candidates, managers, and colleagues.

Key Responsibilities:

Recruitment Administration

• Coordinate recruitment campaigns from vacancy approval through to appointment.

• Prepare and publish job advertisements across relevant recruitment platforms.

Monitor recruitment inboxes and respond to candidate enquiries in a timely manner.

• Arrange interviews and selection activities.

Liaise with recruiting managers to coordinate interview schedules and feedback.

Prepare recruitment documentation including interview packs and offer paperwork.

Undertake safeguarding interviews as required.

Manage pre-employment checks including references, right to work, DBS checks and other preemployment screening.

• Maintain recruitment records and applicant tracking systems, ensuring compliance with school procedures.

• Produce recruitment reports and monitor recruitment activity.

Contracts Administration

• Prepare and issue contracts of employment, offer letters, and contractual documentation.

• Produce contractual amendments including changes to hours, salary, role, location, and terms and conditions.

• Ensure all contractual documentation is accurate and issued within agreed timescales.

• Maintain employee personnel files and HR systems, ensuring records remain accurate and up to date.

• Process new starter and leaver documentation.

Support probation administration and confirmation of employment.

HR Administration

Provide administrative support across the employee lifecycle.

• Maintain HR databases and electronic personnel records.

Respond to routine HR queries from managers and employees.

• Support onboarding activities, including induction arrangements.

Produce routine HR correspondence and documentation.

Support HR projects and service improvements as required.

Compliance and Governance

Maintain confidentiality when handling sensitive employee information.

• Ensure recruitment and employment documentation is retained in accordance with retention schedules.

Customer Service

Provide a professional and responsive service to candidates, employees, managers, and external stakeholders.

• Promote equality, diversity, and inclusion throughout recruitment and employment processes.

Contribute to continuous improvement of HR administrative processes.

General Responsibilities

Work collaboratively with colleagues across the organisation.

• Maintain up-to-date knowledge of employment legislation and HR best practice.

Carry out any other duties appropriate to the grade of the post.
